Job Title: HR Onboarding Specialist

Position Summary:

The HR Onboarding Specialist is responsible for facilitating a seamless and engaging onboarding experience for all new hires. This role plays a critical part in ensuring new employees feel welcomed, informed, and equipped to succeed in their roles. The specialist coordinates pre-employment processes, prepares onboarding materials, and serves as a key liaison between HR, hiring managers, and new employees.

Key Responsibilities:

  • Manage the end-to-end onboarding process for new hires, including pre-employment paperwork, background checks, I-9 verification, and system setup.
  • Prepare and distribute offer letters, welcome packets, and onboarding schedules.
  • Serve as the primary point of contact for new employees during their first days and weeks of employment.
  • Collaborate with IT, payroll, and facilities to ensure all tools, access, and workspace needs are in place before the hire date.
  • Maintain accurate onboarding records in HRIS and ensure compliance with federal, state, and company requirements.
  • Track onboarding milestones and collect feedback to continuously improve the onboarding experience.
  • Support hiring managers with onboarding checklists and tools to integrate new team members effectively.
  • Assist with other HR administrative tasks and projects as needed, including recruitment support and employee file management.

Qualifications:

  • 1–3 years of experience in HR, onboarding, or administrative support (HR experience strongly preferred).
  • Strong organizational and time-management skills with attention to detail.
  • Excellent interpersonal and communication skills.
  • Proficient in Microsoft Office Suite and experience with HRIS systems (e.g., ADP, Paylocity, BambooHR) is a plus.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
