Job summary

Mike Z Rentals LLC in Southwest Florida seeks an Onboarding Specialist who takes each newly signed property from owner agreement to live listing, aiming for live within 7 days. You will coordinate Owners, Operations, Guest Experience and the Portfolio team to ensure homes are clean, stocked, set up in our system and ready for guests.

The role requires warmth, strong organization and proactive communication with owners.

Qualifications

• 2+ years of experience in property management, vacation rentals, hospitality, real estate or project coordination.
• Strong organizational skills with the ability to manage multiple property launches.
• Excellent written and phone communication with owners and vendors.
• Comfortable learning new software quickly and keeping records accurate.
• Detail-oriented with strong time-management skills.

Responsibilities

• Move newly signed owners into onboarding in ClickUp and keep each property's onboarding tracker current.
• Send owner welcome emails and intake forms, collect access information, HOA rules and contacts, utilities and WiFi details.
• Film or process the property preview walkthrough videos.
• Flag repairs, safety items and missing supplies to the owner and the Maintenance team.
• Create Breezeway tasks for new listing maintenance setup, deep cleans, inspections, smart lock installs and repairs.
• Order starter supplies through Sojo and enroll short-term rental homes in the linen program.
• Confirm preventative pest control for every property, recording HOA for condos where the HOA covers it.
• Book professional photography and prepare homes for the shoot.
• Build listings in Guesty with the Portfolio Manager, including descriptions, house rules, amenities, custom fields, pricing and minimum stays.
• Connect listings to Airbnb, Vrbo and Booking.com, and set up Besty AI, StayFi and the in-home guidebook.
• Run a final readiness check on every home before it goes live.
• Check in with owners after their first booking and first stay, and review early guest reviews with Guest Experience.
• Give owners proactive updates on what is done and what is next, and follow up on missing owner items before they delay launch.
• Keep access codes and owner financial details out of emails and shared reports.
• Perform any additional duties assigned by the Portfolio Manager.

JOB SUMMARY:

The Onboarding Specialist takes each newly signed property from owner agreement to live listing, with a goal of every home going live within 7 days of signing. This role coordinates Owners, Operations, Guest Experience and the Portfolio team so every home is clean, stocked, set up in our system and ready for its first guest. REQUIRED SKILLS & EXPERIENCE:

• 2+ years of experience in property management, vacation rentals, hospitality, real estate or project coordination

DESIRED COMPETENCIES:

• Experience with Guesty, Breezeway or another vacation rental PMS
• Hands-on experience with Airbnb, Vrbo and Booking.com listings
• An eye for detail in home presentation, staging or photography
• Canva or basic design
• Bilingual (Spanish/English) is a plus.

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS:

• Must be able to walk properties room by room, climb stairs, and stand for extended periods
• May be required to lift up to 30 lbs. occasionally (supplies, linens, small equipment)
• Work environment is split between the Bonita Springs office and on-site visits to properties across Southwest Florida, including outdoor work in Florida heat
• Daily local driving between the office and properties is required
• Occasional evening or weekend work may be required to meet launch deadlines
