Qualifications

• Fluency in English and Spanish required.

• Comfortable troubleshooting and learning HR/payroll systems, especially Paylocity.
• Ability to manage multiple priorities and meet deadlines.
• Discretion handling confidential employee/payroll information.
• Ability to work independently with escalation as needed.
• Experience with HR, onboarding, payroll, recruiting, or HRIS systems preferred.

Responsibilities

• Provide backup coverage for the primary Onboarding Specialist to ensure continuity of onboarding operations.
• Launch and monitor onboarding packets in Paylocity.
• Review onboarding documentation for accuracy and completeness.
• Complete Form I-9 verification in accordance with federal requirements.
• Monitor background checks and pre-employment screening and coordinate with HR Compliance or Recruiting as needed.
• Communicate with new hires and managers regarding onboarding requirements and next steps.
• Assist with walk-in applicants and new hires as needed.
• Provide employee support for routine HR, onboarding, payroll, and Paylocity questions.

We are seeking a bilingual Onboarding & HR Systems Specialist to provide backup support for employee onboarding while serving as a key resource for Paylocity and HR system-related needs. This role will support employees, managers, and HR team members with onboarding, employee records, timekeeping, direct deposit, pay rate changes, terminations, and other HR system processes.

The position requires strong attention to detail, excellent customer service, and the ability to troubleshoot issues while following established procedures and authorization requirements. This role works closely with HR, Payroll, Recruiting, Compliance, and Operations.

Key Responsibilities

Onboarding & Employee Support

• Provide backup coverage for the primary Onboarding Specialist to ensure continuity of onboarding operations.
• Launch and monitor onboarding packets in Paylocity.
• Review onboarding documentation for accuracy and completeness.
• Complete Form I-9 verification in accordance with federal requirements.

Paylocity & HR Systems Support

• Serve as a primary resource for routine Paylocity questions and system support.
• Troubleshoot issues related to geofencing, clock-in/out, timekeeping, passwords, and system access.
• Process approved direct deposit and pay rate changes in accordance with established procedures.
• Process employee action forms and related system updates upon appropriate authorization.
• Update PO assignments and other employee or job information in Paylocity as authorized.
• Maintain accurate employee and job information in Paylocity.
• Escalate system issues or requests requiring additional authorization or technical support.

Operations & HR Support

• Provide system and administrative support to Operations Managers and internal HR teams.
• Coordinate with Payroll, HR Compliance, Recruiting, and Operations to resolve employee or system issues.
• Assist managers with Paylocity processes and routine employee record updates.
• Maintain accurate and confidential employee records and documentation.
• Support audits, special projects, and process improvement initiatives as assigned.
