Job summary

Woods System of Care is seeking an HR Onboarding Coordinator to coordinate all onboarding needs for employees, ensure compliance with employment laws, and serve as liaison between Talent Acquisition and hiring managers.

The role requires a Bachelor’s degree in HR or related field and 2 years of HR experience, with strong MS Office and HR systems. You will manage docs, protect confidentiality, and support HR policies.

Qualifications

  • Bachelor's degree in HR, business or related field is required with 2 years HR experience.
  • Strong knowledge of state/federal labor laws and I-9 compliance.
  • Proficiency with MS Office and HR technology systems.

Responsibilities

Salary: Starting at $55000 / Annually - depending on education / experience

Job Summary:

Coordinates all onboarding needs for Woods System of Care employees.

Responsibilities
  • Conducts New Employee Orientation
  • Serves as liaison between Talent Acquisition and hiring managers
  • Provides prompt customer service to ensure outstanding onboarding experience. This includes, but is not limited to, promptly answering telephone calls and emails from candidates, coworkers and managers, answering questions related to onboarding policies
  • Ensures the onboarding process meets all requirements and adheres to all employment laws/regulations
  • Conducts and maintains pre-employment screening schedule, including background checks, fingerprinting and Diana Screen, if applicable
  • Tracks and documents pre-employment status through use of ATS (applicant tracking system) and/or HCM Database, ensuring data integrity and compliance
  • Coordinates and accurately processes all onboarding paperwork including, but not limited to, background checks, credential verification, I-9 Employment Eligibility forms, and W-4 Employee Withholding Certificate
  • EnsuresSocial Security Number verifications are completed
  • Performs routine audits to ensure applicant and new employee compliance with required documentation, screenings licenses, credentialing and trainings. Also conducts required follow up
  • Responsible for scanning and indexingdocumentation for various HR files to bemaintainedin database
  • Conducts audits, at least quarterly, to ensure compliance and consistency
  • Assistsinmaintaining,educatingand applying HR Policies
  • HCMdatabaseand vendor portalmaintenance
  • Maintainsconfidentiality of all subject matter as appropriate
  • Collaborates withcounterparts
  • Assists Onboarding Manageras needed
  • Performs other duties as assigned
Qualifications

EDUCATION AND EXPERIENCE

  • Bachelor's Degree in Human Resources, Business Administration, or a related field required, plus 2 years of HR experience. Commensurate relevant experience may be considered in lieu of a degree.

SKILLS,KNOWLEDGEAND ABILITIES

  • Working knowledge of Federal, Pennsylvania, and New Jersey labor and employment laws and regulations, including I-9 compliance requirements.
  • Strong computerproficiency, including Microsoft Office Suite and HR technology systems.
  • Ability tooperateacopier, fax, scanner,andtelephone.
  • Ability to concentrate,demonstrateinitiative, manage competing priorities, and use independent judgment toaccomplishresults.
  • Excellent verbal and written communication skills.
  • Strong organizational and analytical skills.
  • Ability to sit, stand, bend, push, pull, andlift upto 20 pounds. Sits for extended periodstoinput information. Cognitive, verbal, and manual skillsnecessary. Hearing and visual acuity necessary; corrective devices acceptable.Must be able to work under required deadline schedules, while being flexible to special requests and projects.Must be able to professionally handle stressful situations.

  • Employeemustpossessa valid driver's licenseandbe able to driveto variouslocations across the system of care.
