Job summary

Woods System of Care seeks a Benefits Administrator to coordinate all employee benefits and leave matters across the organization. You will work closely with brokers, HR teams, and managers to ensure accurate enrollment, timely communications, and compliant administration.

The role requires a Bachelor’s degree in HR/Business or related field with 2 years HR experience; a valid driver's license is needed to travel across the system.

Qualifications

  • Bachelor’s Degree in Human Resources, Business Administration, or related field plus 2 years HR experience.
  • Commensurate experience may be considered in lieu of degree.
  • Valid driver’s license and ability to drive to locations across the system.

Responsibilities

  • Assist in Open Enrollment education, enrollment, and follow-up.
  • Maintain relationships with brokers, TPAs, and stakeholders.
  • Schedule and promote employee benefits education meetings.
  • Handle enrollment/deductions in HCM and communication with employees.
  • Respond to employee inquiries and benefit/claim issues.
  • Audit benefit invoices monthly and initiate payments.
  • Ensure ACA, ADA, PWFA, and other compliance requirements.

Salary

Starting at $55000 - $65000 / annually - depending on education / experience

Job Summary

Coordinates all benefits and leave related matters concerning Woods System of Care employees.

Responsibilities
  • Assists in executing Agency Open Enrollment periods, including education, enrollment, assistance and necessary follow-up
  • Maintains working relationships with insurance brokers, third-party administrators, and other stakeholders
  • Schedules, organizes and promotes educational meetings associated with employee benefits
  • Follow-up and transmission of benefit information in HCM for timely enrollment and deductions
  • Responds to employee inquiries and claim issues
  • Obtains proper supporting documentation for employees with dependent coverage and those opting to waive coverage
  • Responsible for monthly audit of benefit invoices and initiated requisitions for payment
  • Ensures on-going Affordable Care Act compliance
  • Ensures compliance under the Americans with Disabilities Act and Pregnant Workers Fairness Act
  • Distributes applicable COBRA forms
  • Initiates eligible employee participation in 403(b) and 401(k) Plans
  • Maintenance of 403(b) and 401(k) Plans as needed
  • Generates requested/required FMLA paperwork in a timely manner, retrieving completed documentation and monitoring during the FMLA duration. Requires communication with employees to ensure updates are provided. Also requires guiding/reviewing supervisors timecard maintenance
  • Provides notice to employees for required premiums and schedule of payment during unpaid absences
  • Provide state disability information as needed
  • Ensures state disability notices are provided to HCM for correct year end reporting
  • Administration of Short/Long Term Disability for private and state plans, ensuring claims are submitted timely
  • Ensures compliance regarding Medicare regulations
  • Administration of New Jersey Sick Leave
  • Completion and audit of bi-weekly payroll file for changes/maintenance
  • Distributes approved Tuition Reimbursement Applications and receives supporting documentation to execute eligible payments at applicable affiliates
  • Responsible for scanning and indexing documentation for various HR files to be maintained in database
  • Provides follow-up on all outstanding documentation to ensure that required information for employee files are received timely, is accurate and up-to-date
  • Conducts audits, at least quarterly, to ensure compliance and consistency
  • Assists in maintaining, educating and applying HR Policies
  • HCM database and vendor portal maintenance
  • Individual must maintain confidentiality of all subject matter as appropriate
  • Collaboration with counterparts
  • Assists Benefits Manger as needed
  • Other duties as assigned
Qualifications
  • Bachelor’s Degree in Human Resources, Business Administration, or a related field required, plus 2 years of HR experience.
  • Commensurate relevant experience may be considered in lieu of a degree.
  • Employee must possess a valid driver’s license and be able to drive to various locations across the system of care.
Skills, Knowledge and Abilities
  • Working knowledge of Federal, Pennsylvania and New Jersey labor and employment laws and regulations, including relevant regulations like ERISA, COBRA, HIPAA and ACA, ADA, PWFA, FMLA.
  • Strong computer competence with proficiency in Microsoft Office Suite and HR technology systems.
  • Ability to operate a copier, fax, scanner and telephone.
  • Ability to concentrate, to have initiative, to cope with stress and use independent judgment to accomplish results. Must demonstrate an ability to communicate effectively both verbally and in writing.
  • Must be able to sit, stand, bend, push pull and lift up to 20 pounds. Sits for extended periods to input information. Cognitive, verbal, and manual skills necessary. Hearing and visual acuity necessary; corrective devices are acceptable. Must be able to work under required deadline schedules, while being flexible to special requests and projects. Must be able to professionally handle stressful situations.
