Talent & Development Analyst /Program Coordinator (Officer/C11) JPN - Human Resources

Organization Description

The Talent and Learning (T&L) team consults across the Asia Pacific franchise, aiming to maximize organizational performance to meet current and future business objectives. This is achieved by partnering with the business to effectively manage talent, create and leverage diversity, and understand the competencies required in their teams to achieve business objectives, to then develop (where required), deliver and evaluate learning and development solutions.

The Talent and Development Analyst will be part of the Talent & Learning Professional Services group and will report directly to the Japan Talent Management Head. TLPS supports the program management of regional and country: (1) talent and professional skills programs, (2) talent and performance management processes, (3) diversity and inclusion programs/initiatives sponsored by T&L.

Key Responsibilities

The Talent and Development Analyst/Program Coordinator is responsible for the execution of program logistics. He/she oversees and coordinates multiple training programs or initiatives based on the requirements that TLPS Relationship Managers will provide. Tasks will vary depending on which process group the analyst will be handling.

Below tasks should be done in Japanese and English:

  1. Program Execution:
    • Respond to participants’ and partners’ inquiries related to program details, pre-work, travel documents (including introduction and visa letter), post-program support.
    • Manage coordination of training venues or platforms (classroom and virtual), equipment, catering, travel arrangements, and identifying and booking faculty (internal/external), other logistics and communications.
    • Manage the learning event and vendor relationship, tending to the practical aspects of space, contracts, schedule, technology, and materials.
    • Supports the training nomination/registration process and tracking registration trends.
    • Deliver and manage regulatory related training.
    • Create virtual/set-up training classrooms, perform checks, and support pre-program set-up.
    • Prepares communication emails and/or calendar invites and sends it to the participants.
    • Updates and monitors program rosters.
  2. Technology and Platforms:
    • Creates LMS activities and updates it in the SharePoint calendar.
    • Uploads online training content in Brainshark, Degreed, or LMS.
    • Acts as the SME for technology platforms and assists other team members for troubleshooting – LMS, Zoom, Adobe Connect, SharePoint, Slido.
    • Build and maintain strong relationships with product managers supporting technology platforms – T&L Shared Services, Digital Learning Team.
    • Collate program evaluation data and carry out first-level analysis; create training dashboards to inform and support stakeholders’ decision making and guide learner activity.
    • Creates and maintain TLPS-owned SharePoint and Collaborate Sites.
    • Partner closely with Global Events Management Team for execution of large scale events.
  3. Expense Management:
    • Create purchase order numbers for confirmed engagements.
    • Process the payment for invoices and monitors the payout.
    • Coordinate with vendors regarding the payment status of invoices.
    • Respond to payment queries from the vendor and partners.
    • Responsible for expense accruals and maintaining the expense tracker.
  4. Vendor Management:
    • Facilitate vendor onboarding – contract and system (includes vendor activation).
    • Review vendor contracts/scope of work/work order.
    • Responsible for vendor profile maintenance (e.g. updates).
    • Support the Business Management Lead during contract renewal reviews.
  5. Billing:
    • Prepare and review billing entries for intercompany charging.
    • Coordinates with internal Citi partners in clearing the billing.
    • Respond to queries related to the billing process.
  6. Business Management:
    • Responsible for risk management, and compliance and controls within T&L.
    • Support the Business Management Lead in preparing/revising the budget.
    • Represent T&L in Citi-wide PH initiatives and meetings.
    • Ensure continuity of business plans are in place.
  7. Reporting & Metrics:
    • Responsible for creating standardized reports, metrics, and dashboards related to Talent & Learning processes and initiatives (e.g. talent and diversity landscape, performance management completions).
    • Provides first-level analysis for dashboards and metrics, and suggests data trends to RMs.

Knowledge, Skills, and Abilities

  • Strong language capability both in Japanese and English is a must.
  • Flexibility and experience in managing multiple, high priority tasks and adjust to shifting priorities, while meeting deadlines.
  • Ability to work independently and interact with all levels of management in a professional and positive manner.
  • Strong analytical, project management and process management skills.
  • Able to multi-task, resourceful and work under pressure.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, follow-up and organizational skills.
  • Learning Management System experience a plus.
  • Collaboration and e-learning tools experience a plus.
  • Proficient in MS Office.
