Description

The Department of Developmental Services (DDS) has an excellent career opportunity for a highly motivated individual for a Office Support Specialist I position at the Metro North Area Office in Wakefield, MA. This position supports the administrative functions and needs in the Area Office.

The Office Support Specialist will manage the front desk operation including addressing incoming calls, greeting visitors and other tasks to maintain the clerical operation of the office. Will supervise Clerk IV’s.

Provide general office and clerical support to the Area Director, Assistant Area Director, Clinical Director and Service Coordinator Supervisors.

The Selected candidate for this position will have the ability to exercise sound judgement and discretion in handling confidential information.

He or she will be required to demonstrate a strong degree of decision making, and knowledge of the department.

This position is responsible for managing office support functions including record keeping, inventory, office supplies, regional purchasing and data issues.

The candidate shall serve as point person and area expert for various agencies database systems such as the HUB, PAM (Participant Allocation Management) and HCSIS (Health and Community Services Information Systems).

The selected candidate will manage assigned area projects including mass mailings and information gathering as needed.

Train and support Area Office staff in the technique and procedures for the operation of computer equipment, software, and various databases when needed.

Scheduled Hours: 8:45am-5pm

Days Off: Saturday/Sunday

Office Support Specialist I

Applicants must have at least (A) two years of full-time, or equivalent part‑time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

Substitutions

I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.

II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.

Salary placement is determined by a combination of factors, including the candidate’s years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division’s Hiring Guidelines. For all bargaining unit positions (non‑management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
