Responsibilities

  • Sort, scan, and distribute all incoming mail and faxes.
  • Provide coverage for the switchboard/front desk during breaks and when staff are out.
  • Assist clients and provide information about services offered by DSS and other agencies.
  • Enter preliminary data into NCFAST and verify/update client details and household members.
  • Register clients to vote and forward forms to the Board of Elections.
  • Organize and maintain Medicaid cards; list checks and forward to fiscal staff.
  • Perform basic clerical tasks (faxing, copying, mailing) as needed.
  • Cross-train to back up other unit duties as required.

Job Description General Statement of Duties This position provides supportive services to other members of the Operations Support Unit as well as the Income Maintenance Caseworkers and Supervisors.

Distinguishing Features of the Class

An employee in this class performs supportive work by processing mail, reports, and entering preliminary into the computer system. Work is performed on a daily basis under the supervision of the Office Work Unit Supervisor V.

Illustrative Examples of Work

Sort, scan, and distributes all incoming mail and faxes. File for 30 days before being shredded. Assist with processing drop-off/reception mail and scans those documents necessary for cases; documents are returned to the client if requested or filed for 30 days before being shredded. Gather all DSS outgoing mail for pick-up. Provides coverage for the switchboard/and or front desk for breaks, lunches and when the switchboard operator/front desk staff are out. Assists clients and answers questions regarding services provided by DSS, as-well-as information regarding services other agencies provide. Performs preliminary data entry into NCFAST for new clients and verifies/updates client’s name, address, birth date and social security number as-well-as each household members’ information as necessary in NCFAST. Provides the client with required documents based on the services being applied for. Additionally, scans returned documents into folders and task workers in NCFAST. Enters reception information into applicable computer programs to notify workers that a client is ready to be seen for services. Provides clients with the opportunity to register to vote and forwards registration forms to the Board of Elections. Organize and maintain returned Medicaid cards. List checks received and give to appropriate fiscal worker. May be required to perform basic clerical tasks as needed i.e.; faxing, copying and mailing. Perform research on EBT cards and usage as requested by IMC worker/Fraud worker. - Adheres to the county, state, federal policies, rules and regulations. - This position performs mandatory Shelter Duty should the need arise and is a mandatory emergency shelter duty team member Performs other duties as necessary or as assigned included but not limited to covering and providing relief to front desk reception staff, doing reports to send to Supervisors, back up for assigning applications, safety inspections, ordering supplies and forms as well as copier maintenance. Will be cross-trained in all duties of the Unit to be back up when necessary.

Knowledge, Skills and Abilities General knowledge of the programs offered at DSS. Must have thorough knowledge of multiple computer programs including but not limited to; NCFAST, EBTEDGE and One Case. Good general computer skills. Ability to ask appropriate questions in order to gather needed information quickly and efficiently. Must be assertive and offer good customer service. Ability to work quickly and multi-task with total accuracy under stressful situations and with frequent interruptions.

Physical Requirements

Must be able to physically perform the basic life operational support functions of climbing, balancing, stooping, kneeling, crouching, reaching, walking, pushing, pulling, lifting, fingering, grasping, talking, hearing and repetitive motions. Must be able to perform medium work exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. Must have visual acuity to prepare and analyze data and figures and work on a computer terminal. Worker is subject to inside environmental conditions: Protected from weather conditions but not necessarily from temperature changes. Worker is subject to noise. Worker is subject to atmospheric conditions: One or more of the following conditions that affect the respiratory system of the skin: fumes, odors, dusts, mists, gases or poor ventilation. Worker is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work). Worker is in contact with potentially infectious bodily fluids during the performance of his/her duties.

Education and Experience

Graduation from high school and demonstrated possession of knowledges, skills and abilities gained through at least one year of office assistant/secretarial experience; or an equivalent combination of training and experience.

Licenses and Certifications

Valid North Carolina Driver License.
