Job Description
Office Supervisor (Medical Office) - Goodyear, AZ
If you are the person your clinic turns to when the schedule backs up, a patient needs reassurance and two staff members need an answer at the same time, this is a role built around that strength. We are hiring a hands-on Office Supervisor to lead daily operations at an established outpatient medical office in Goodyear, Arizona.

- Work Environment: A busy outpatient medical practice with providers, administrative personnel and clinical support staff working side by side
- Department or Team: You lead the on-site team - front office personnel, Medical Assistants and other clinical support staff
- Patient-Facing Responsibilities: Regular patient contact, including stepping in on service concerns and keeping patient flow moving
- Systems / EMR / Software: Electronic Medical Record system, including generating and reviewing operational reports; Microsoft Word, Excel and Outlook
- Travel: Reviewed with you during the interview process
- Reporting Structure: You are the primary on-site leader and escalates complex operational matters to the Director of Operations
About the Opportunity / A Day in the Life
You open the day by looking at what is actually in front of the team: the appointment book, who is in, where coverage is thin and anything left over from yesterday. From there you are on the floor rather than behind a closed door - checking in with the front desk, making sure Medical Assistants have what they need, and smoothing the handoffs between check-in, the clinical rooms and check-out.
Most of the day is problem-solving in real time. A provider is running long, a patient at the window is frustrated, a staff member has a question about a process, a last‑minute call‑out needs covering. You make the call, keep it calm and professional, and keep the schedule intact. The problems that need more than a same‑day fix go to the Director of Operations with your read on what is happening and what you would recommend.
The other half of the job is quieter and just as important: coaching. You are the person who shows a newer team member how the workflow is supposed to run, who notices when someone is carrying more than their share, and who tells people plainly when something needs to change. You also pull reports out of the EMR, look at what the numbers say about patient flow and scheduling, and bring forward the handful of changes worth making.
This is a supervisory role with real scope and a direct line to leadership. The work is visible, the decisions are yours to make within clear boundaries, and the results show up in how the clinic runs and how patients are treated.
Why This Role Stands Out
- You are the primary on-site leader, not one of several layers - your decisions land the same day
- Oversight of both the administrative and the clinical support side, which is broader exposure than a front-office-only supervisor role
- A direct reporting line to the Director of Operations, so escalation is straightforward and you are not left holding problems that are above your authority
- Genuine ownership of workflow improvement - you are expected to bring ideas forward, not just enforce the ones that exist
- An established practice with settled operations, rather than a start-up where the basics are still being invented
- Leadership development in healthcare operations that transfers directly into practice and clinic management
What We’re Looking For
- An experienced healthcare supervisor who is comfortable being on the floor and approachable while still holding a standard
- Someone organized enough to keep several priorities moving without losing the detail on any of them
- A steady communicator who can be clear, respectful and direct in the same sentence - with staff, providers and patients
- A problem-solver who makes a sound decision with the information available rather than waiting for perfect clarity
- Someone who genuinely enjoys supporting a team and is motivated by other people doing well
- A professional who treats patient privacy and documentation standards as non-negotiable
Job Duties & Responsibilities
- Oversee day-to-day clinic operations, including workflows, patient flow and staff coordination
- Serve as the primary on-site leader, providing hands-on operational support throughout the day
- Supervise and support front office personnel, Medical Assistants and other clinical support staff
- Provide coaching, guidance and day-to-day assistance that builds teamwork and accountability
- Assist with staffing schedules and coverage adjustments so patient care is not disrupted
- Act as the first point of contact for daily operational concerns and staff questions
- Address workflow challenges, patient service issues and staffing concerns promptly and professionally
- Ensure adherence to organizational policies, procedures and patient service standards
- Maintain compliance with applicable federal and state regulations, including HIPAA
- Support consistent implementation of operational processes and best practices across the office
- Generate and review EMR reports, identify trends and recommend operational improvements
- Escalate complex operational matters to the Director of Operations with context and a recommendation
- Identify opportunities to improve efficiency, productivity and patient satisfaction
- Maintain a professional, organized and patient-focused office environment
Required Qualifications
- Minimum of 2 years of healthcare leadership or supervisory experience — for example Office Supervisor, Front Office Supervisor, Lead Medical Assistant or a similar role
- Previous experience working in a medical office, outpatient clinic or healthcare practice
- Demonstrated ability to supervise, motivate and support administrative and clinical teams
- Working knowledge of healthcare operations, patient scheduling and clinic workflows
- Familiarity with HIPAA and applicable healthcare regulations
- Strong organizational, time-management and problem-solving skills
- Proficiency in Microsoft Office, including Word, Excel and Outlook
- Experience using Electronic Medical Record (EMR) systems, including generating and reviewing reports
- Strong verbal and written communication skills, with the ability to build positive professional relationships
- Ability to analyze information, make sound decisions and resolve operational challenges
- Comfortable working in a fast-paced clinical environment while maintaining professionalism and attention to detail
- Ability to work on site in Goodyear, AZ
- Physical requirements: ability to stand for extended periods, perform repetitive movements, stoop, turn, bend, squat and kneel as needed, and lift up to 50 pounds
Preferred Background
- Bilingual in English and Spanish is strongly preferred
- Experience supervising both front office and clinical support teams
- Experience with EMR reporting, patient scheduling and workflow optimization
- A track record of improving team performance, operational efficiency or patient satisfaction
- Experience coaching employees while keeping a supportive and accountable team environment
This Role Is Likely a Fit If You
- Would rather be on the floor solving the problem than reading about it afterwards
- Like being the person the team comes to, and are comfortable making the call
- Can switch from a frustrated patient to a staffing gap to a report in the EMR without losing your footing
- Take satisfaction in coaching someone into being good at their job
- Want a leadership role with real scope and a short path to the person above you
This Role May Not Be a Fit If You
- Are looking for a remote or hybrid position - this role is fully on site
- Prefer a predictable day with few interruptions; clinic operations rarely offer one
- Would rather not have difficult conversations with staff about performance or accountability
- Are looking for a purely clinical role; this position leads operations and supports clinical staff rather than treating patients
- Are not comfortable with the physical demands of a clinic floor, including standing for long stretches and occasional lifting
Why Join Us
We are an established outpatient medical practice, and the office you would lead is a real team - front office and clinical staff who work closely together and take the patient experience personally. Leadership here is practical: you will be trusted to run your office, backed by a Director of Operations who wants to hear what you are seeing, and judged on whether the clinic runs well and patients are treated well.
If you are an experienced healthcare supervisor who enjoys leading teams, improving how a clinic runs and creating a better experience for patients, we would like to meet you.
