Job summary

Black Hawk County's Recorder's Office seeks a detail-oriented Records Clerk to support real estate, conservation recording and vital records services. You will handle data entry, document review, and customer service in person or by phone.

The role requires a high school diploma or GED, 1–2 years of clerical and real estate experience with Iowa Code standards, plus strong communication and office equipment skills.

Job description

DescriptionAnalyzes and performs data entry and clerical functions to support real estate, conservation recording and vital records services. Provides customer service in-person or over the phone to those utilizing a variety of services in the Recorder's Office.

  • Must be capable of regular and predictable attendance at a specified location in order to perform assigned tasks.
  • Reviews documents received in the Recorder's Office to verify complete and accurate information, as required, following prescribed policies and procedures.
  • Performs data entry of information contained on various real estate, conservation and/or vital records documents to maintain accurate recording.
  • Assists the public, abstractors, and attorneys on the phone or in-person in utilizing records and obtaining services.
  • Answers questions drawing on knowledge of the Code of Iowa and standard practices as it relates to real estate, conservation, and vital records.
  • Performs clerical duties such as typing, filing, sorting, stamping, photocopying and scanning to prepare documents for recording or release.
  • Collects fees associated with real estate, conservation license and vital records requests. Balances cash drawer as necessary or assigned.
  • Provides assistance courteously and effectively in stressful situations, establishes and maintains satisfactory working relationships with other County employees and the general public using patience and tact.
  • Other duties as assigned.
  • Supervision is received from County Recorder and Appointed Deputies.
  • No functional or administrative supervision is exercised over staff.
  • A High School Diploma or G.E.D. is required.
  • 1-2 years previous clerical and real estate experience working with Iowa Code and documenting standards relative to real estate preferred.
  • Previous customer service and/or job-related experience preferred.
  • Demonstrated job-related experience in a governmental environment is preferred.
  • Excellent written, verbal, and listening communication skills are required.
  • Must be efficient with general office equipment including computer, photocopier, scanner, 10-key calculator and microfilm reader/printer.
  • Knowledge of Code of Iowa regulations regarding real estate records and documents in the Recorder's Office and the ability to comply with these regulations.
  • Must be proficient with data entry and maintain accuracy.
  • Within one year from date of hire may have to successfully pass the passport agent exam.
