Office Services Specialist - Full Time Floater

Job Title: Field Support Specialist

Reports To: The Field Support Specialist will report to the Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.

Job Overview:

The Field Support Specialist will be assigned to provide backfill coverage within their assigned region, filling in for staff on scheduled and unscheduled time off. This role requires flexibility as multiple locations may be assigned, including same-day assignments based on urgent call outs. It is a critical role for ensuring customer satisfaction, business continuity, and meeting service level agreements. The goal is to support customers with continuous coverage in line with our SLAs.

The FSS representative delivers exceptional office services, covering functions such as shipping & receiving, print & binding, facilities, hospitality, concierge, reception, data entry, document scanning, inventory management, and other site-specific processes. Training will be provided at SPS sites within the region to familiarize FSS staff with different locations.

This position aims to provide the highest level of service to all clients and SPS employees, maintaining a professional image through prompt, courteous, and efficient service.

Duties and Responsibilities:

Mail Services

  • Provide exceptional service for all communication forms.
  • Process inbound and outbound mail/packages, sorting by recipient/department using manual or electronic procedures.
  • Handle shipping and receiving duties, including packaging and sealing shipments.

Reprographics Services

  • Assist with copy/print production and monitor equipment functionality.
  • Provide binding services (GBC, Velo, Coil, Wire).
  • Operate multi-function devices, replenishing toner and paper as needed.
  • Scan, image, and reproduce documents.

Office Services

  • Maintain the Office Services area in an organized manner.
  • Service and restock pantry, conference, and meeting areas.
  • Perform general office maintenance and safety checks.
  • Oversee office equipment maintenance.
  • Organize breakrooms and stock supplies.
  • Set up meeting and conference rooms.

Front of House

  • Provide reception or concierge coverage as needed.
  • Welcome guests, register visitor information, and orient new clients.
  • Represent SPS and clients professionally in all interactions.
  • Manage lobby experience and assist visitors, coordinate with security, and control access.
  • Answer calls and route appropriately.
  • Log visitors and provide administrative support as directed.

Qualifications:

  • High School Diploma or equivalent.
  • 6+ months of prior work experience preferred.
  • Ability to work assigned hours as determined by management.
  • Excellent organizational, time management, and communication skills.
  • Knowledge of MS Office Suite and office equipment.
  • Understanding of shipping/receiving procedures.
  • Ability to work independently and proactively seek additional tasks.

Physical Demands:

  • Ability to lift 25 lbs individually and 50 lbs with assistance.
  • Ability to stand, walk, kneel, and sit for extended periods.
  • Manual dexterity for operating office machinery.
  • Visual acuity for color matching and detailed work.

Travel:

  • Travel within the assigned region is mandatory, requiring reliable transportation.
  • Travel may include moving between SPS sites as needed.
