Office Services Specialist - Full Time Floater

Job Title: Field Support Specialist

Reports To: The Field Support Specialist will report to the Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.

Job Overview:

The Field Support Specialist will be assigned to provide backfill coverage within their assigned region, filling in for staff on scheduled and unscheduled time off. This position requires flexibility as there will be multiple locations the FSS could be assigned to. It may also involve same-day assignments based on unscheduled call-outs needing immediate support. This role is critical for customer satisfaction, business continuity, and meeting service level agreements. The goal is to ensure continuous customer support in accordance with our SLAs.

The FSS provides exceptional office services, including shipping & receiving, print & binding, facilities, hospitality, concierge, reception, data entry, document scanning, inventory/supplies management, and other site-specific processes aligned with our core business lines and SLAs. Training will be provided at SPS sites within the region to familiarize FSS with other SPS locations.

This position strives to deliver the highest level of service to all clients and SPS employees while maintaining a professional image through prompt, courteous, and efficient service.

Duties and Responsibilities:

Mail Services

  • Provide exceptional service for all forms of communication.
  • Process inbound and outbound accountable and flat mail/packages, sorting by recipient/department using manual or electronic chain of custody procedures.
  • Handle shipping and receiving duties, including packaging and sealing shipments.

Reprographics Services

  • Assist with copy/print production and monitor equipment functionality.
  • Provide binding services (GBC, Velo, Coil, Wire).
  • Operate multifunction devices, ensuring functionality, replenishing toner and paper.
  • Scan and image documents, and perform light copy/print reproduction services.

Office Services

  • Maintain the Office Services Center in a neat and orderly manner.
  • Service and replenish pantry, conference, and kitchen areas.
  • Perform general maintenance and repairs, oversee equipment maintenance and safety tests.
  • Organize and stock breakrooms, set up meeting and conference rooms, and manage office supplies inventory and reordering.

Front of House

  • Provide reception or concierge coverage as needed.
  • Greet guests, register visitors, and coordinate access with building security.
  • Represent SPS and clients positively in all interactions.
  • Ensure quality of lobby experience, assist guests, and handle calls and visitor logs.
  • Provide light administrative support as directed.

**Qualifications:**

  • Strong verbal and written communication skills.
  • Proficiency in MS Office Suite (intermediate to advanced).
  • Ability to multitask and organize effectively.
  • Knowledge of MFD equipment and shipping/receiving procedures.
  • Ability to work independently and complete projects.
  • Proactive in seeking additional tasks during downtime.
  • Maintain professionalism and build relationships with customers and teams.

Minimum Qualifications:

  • High School Diploma or equivalent.
  • Preferred 6+ months of relevant work experience.
  • Ability to work assigned hours as determined by management.
  • Excellent organizational and problem-solving skills.
  • Professional appearance and attitude.

Physical Demands:

  • Ability to grasp, lift (up to 25 lbs. alone, 50 lbs. with assistance), and carry items.
  • Ability to walk, bend, kneel, stand, and sit for extended periods.
  • Manual dexterity for operating office machinery, ladders, and binding equipment.
  • Visual acuity for color matching, reading, and close/distance vision.

Travel:

  • Travel within the assigned region is required, with reliable transportation essential.
  • Assignments may include traveling between SPS sites as needed.
