The Office Services Coordinator is responsible for managing and supporting day-to-day office operations to ensure an efficient, organized, and welcoming work environment. This includes overseeing office supplies, coordinating facility and vendor services, supporting mailroom operations, setting up meetings, and providing general administrative assistance. The role demands excellent organizational, communication, and problem-solving skills.

Key Responsibilities:

Office & Facility Operations

  • Ensure smooth execution of daily office operations and facility tasks.
  • Manage general office and pantry inventories; place and receive orders (e.g., snacks, beverages, paper goods, printer supplies).
  • Set up, maintain, and clean coffee stations and kitchen areas (AM/PM).
  • Maintain clean common areas including lunchrooms, meeting spaces, and pantry.
  • Generate & Manage Facility Service Request Tickets (resolve facility-related service requests i.e. Hot/Cold, Light bulb replacement, copier/MFD service calls, pantry vendor maintenance & etc).
  • Coordinate conference room scheduling and setting up for meetings, events, and visitors.
  • Open and prepare executive offices and shared spaces at the start of each day.
  • Support lunch orders and set-up, including executive meals run when needed.

Mail & Package Management

  • Handle incoming/outgoing USPS, FedEx, and UPS mail and packages, including certified mail and airbills.
  • Deliver mail to postal service locations when required.

Administrative & Project Support

  • Provide general administrative support such as filing, documentation, and vendor communications.
  • Maintain visitor logs and greet/direct clients, vendors, and staff as needed.
  • Update workspace assignments in Serraview and support office moves or furniture changes.
  • Participate in special projects (e.g., SOP documentation, file / records management, additional duties as assigned).
  • After-Hours work when required.

Professional Development:

  • Actively pursue opportunities for training, certifications, and workshops related to office management, facilities operations, or administrative services.

Qualifications:

  • Prior experience in office services, facilities coordination, or administrative support.
  • Strong organizational and multitasking skills.
  • Excellent interpersonal and communication skills.
  • Ability to work independently and collaborate across departments.
  • Proficient in Microsoft Office Suite and facility management platforms (e.g., Serraview, Workday).

Education:

Associate’s degree or relevant experience
