The role involves processing documents, coordinating mail and shipping, setting up meeting spaces, and assisting with office moves and supplies, while delivering exceptional client service. You will also back up the receptionist and help maintain a professional, organized office.

Qualifications

  • High school diploma or equivalent required.
  • Minimum five years of office services, facilities, or admin support experience.
  • Proficiency with Microsoft Outlook and Microsoft Office applications.
  • Strong attention to detail and ability to manage multiple priorities.

Responsibilities

  • Process, copy, print, scan, and distribute documents accurately.
  • Create and organize binders and presentation materials for meetings and depositions.
  • Process mail and manage postage meters and shipping requests.
  • Coordinate conference room setup and break down.
  • Maintain office and supply inventories and place orders.
  • Provide backup receptionist coverage and front desk support.
  • Assist with office moves and facility-related requests.

Job description

Akerman is seeking a highly motivated and customer-focused Office Services Coordinator for its Atlanta office. This position is responsible for providing comprehensive office services support while ensuring exceptional service to attorneys, clients, and business professionals in a fast-paced legal environment.

The ideal candidate will be a self-starter who demonstrates initiative, professionalism, and a strong service mindset. The successful candidate will actively assess information, adjust priorities in response to changing business needs, and consistently provide exceptional support to internal and external clients.

Requirements :

  • Process, copy, print, scan, and distribute documents accurately and in the required format.
  • Create, organize, and assemble binders and presentation materials for depositions, arbitrations, trials, client meetings, and other firm initiatives.
  • Process daily incoming and outgoing mail according to department‑specific procedures and requirements.
  • Operate and maintain the office postage meter, including monitoring and replenishing postage funds.
  • Coordinate and track courier, FedEx, UPS, messenger, and other shipping requests.
  • Maintain inventories of office, shipping, and departmental supplies; place orders as needed.
  • Set up and break down conference rooms and meeting spaces.
  • Coordinate with building management and outside service vendors regarding office maintenance and facilities‑related requests.
  • Maintain and organize storage rooms, supply areas, kitchen areas, and common spaces.
  • Assist with office moves, furniture relocations, and workspace reconfigurations.
  • Provide backup receptionist coverage, including greeting visitors, answering and directing telephone calls, and assisting with front desk operations.
  • Assist with special projects and perform other duties as assigned.

Qualifications :

  • High school diploma or equivalent required.
  • Minimum of five (5) years of office services, facilities, administrative support, or related experience, preferably in a law firm or professional services environment.
  • Demonstrated proficiency with Microsoft Outlook and other Microsoft Office applications.
  • Strong experience with document production, mail operations, courier services, and general office support functions.
  • Ability to comfortably lift and move materials weighing up to 50 pounds.
  • Exceptional attention to detail and commitment to delivering accurate, high-quality work product.
  • Ability to follow written and verbal instructions with a high degree of accuracy.
  • Strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast‑paced environment.
  • Excellent interpersonal, communication, and customer service skills.
  • Ability to establish and maintain effective working relationships with attorneys, business professionals, vendors, and visitors.
  • Reliable, flexible, and adaptable in responding to changing priorities and business needs.
