AVES- Outpatient Recovery Center is seeking an experienced Office Manager to lead hospital operations in Austin, TX. You will align people, processes, and resources with a focus on outstanding patient care and client experience, reporting to hospital leadership.

You will drive financial performance, build leaders, and champion continuous improvement while sustaining a collaborative, high‑performing culture across all departments.

Qualifications

Job Description

The Office Manager serves as the hospital’s operational leader, overseeing daily operations while driving financial performance, operational excellence, regulatory compliance, patient care, client experience, and employee engagement. Partnering closely with the Medical Director and Hospital Director, this role ensures people, processes, resources, and systems work together effectively to achieve hospital goals.

The Office Manager develops leaders, strengthens processes, removes operational barriers, and fosters a collaborative, accountable, and high-performing culture. Success requires a visible, engaged, and solutions-oriented leader who balances strategic priorities with day-to-day needs while championing continuous improvement and the organization’s mission, vision, and values.

Responsibilities

Financial Leadership

• Oversee hospital financial performance, including revenue, expenses, labor, inventory, and profitability.
• Monitor KPIs, identify trends, and implement strategies to improve financial and operational results.
• Partner with the Hospital Director on budgeting, forecasting, and strategic initiatives.
• Identify opportunities to improve workflows, resources, technology, and service delivery while maintaining exceptional patient and client care.

Operational Excellence

• Lead day-to-day hospital operations, ensuring efficient and collaborative department performance.
• Develop and improve processes, SOPs, workflows, staffing, scheduling, inventory, facilities, and equipment readiness.
• Ensure compliance with organizational policies, regulatory requirements, accreditation standards, and safety expectations.
• Lead operational change and continuous improvement initiatives.

People Leadership

• Recruit, develop, coach, and retain a high-performing, engaged team.
• Provide leadership and accountability to supervisors and department leaders while fostering collaboration.
• Establish clear expectations through communication, coaching, recognition, and performance management.
• Lead employee relations, conflict resolution, and workforce engagement efforts.

Talent & Culture

• Champion the hospital’s mission, vision, and values through visible and consistent leadership.
• Foster a culture of professionalism, accountability, inclusion, teamwork, innovation, and service excellence.

• Ensure hospital processes are standardized, effective, and continuously evaluated.

• Address operational, personnel, client, and facility challenges with sound judgment and a solutions-oriented approach.
• Ensure organizational priorities are clearly communicated, implemented, and sustained.

Client Experience & Leadership Presence

• Champion an exceptional client experience through compassionate service, clear communication, and operational excellence.
• Maintain a visible leadership presence, providing real-time support, guidance, and problem-solving.
• Partner with clinical and operational leaders to ensure seamless patient care and client communication.
• Lead service recovery efforts and proactively address client concerns.
• Build strong relationships with employees, clients, referring veterinarians, community partners, and organizational leadership while serving as an ambassador for the hospital.
• Other duties as assigned.

Qualifications

• Education: Degree or equivalent working experience in veterinary medicine, healthcare administration, business, or related field preferred.
• Experience: 3–5 years in a leadership or management role with autonomy over operations, formal responsibility for people management; ideally in a veterinary or healthcare environment.
• Skills: Strong financial and operational acumen with proven success in managing KPIs and driving performance. Ability to prioritize, manage teams, and make decisions in dynamic hospital settings. Exceptional communicator, leading with transparency, integrity, and empathy. Proactive mindset focused on continuous improvement and results. Proficient in practice management systems and operational tools, ideally for veterinary care.
• Ideal Background: Clinical experience preferred in veterinary medicine or human healthcare with a working understanding of clinical operations.
• Fluent English skills (speaking & reading) are required for the role; fluency in multiple languages a plus
