POSITION : Office Manager Training Coordinator

DEPARTMENT : CMO-Operations

REPORTS TO : Director of Business Systems

EEO Classification : Administrative Support

Position Summary

The Office Manager Training Coordinator position offers an exceptional opportunity to lead and contribute meaningfully to a unique organization which is changing K-12 education in this country. While experience in education is preferred in this role, Great Hearts is seeking people who are passionate and committed to K-12 education reform.

This position would develop materials and assist with standardizing and training new office personnel. The person will work closely with the Director of Business Support to develop an OM college to ensure a smooth transition if the need arises for a new Office Manager at an academy.

Duties & Responsibilities

  • Main point person for training items for OM's
  • Onboarding support for new hires (create onboarding plan, be onsite for first several days to train new hire, etc.)
  • Interim support : in case of a vacancy at an academy, could temporarily fill in on specific areas of need until we are able to hire someone else.
  • Ongoing training and support for Office Managers (ex : develop training aids for job duties, calendar of duties)
  • Customer service and help desk for Office Managers (ex : OM needs help figuring out how to pull a report from student information system)
  • Assist in planning and executing the monthly Office Manager meetings, centralized trainings, and help to facilitate execution of monthly collaboration meetings.
  • As needed, help with one-off projects
  • Assist in development of OM College to train current list of those interested in an OM position at GH.
  • Site visits to each academy to keep a pulse on culture, satisfaction in role, and to provide ongoing training and support.
  • Assist with administration, support, and Job aids for Business Operations SharePoint
  • Responsible for weekly OM newsletter creation and distribution
  • Help with interviewing and hiring of Office Managers and Assistant Office Managers / Registrars
  • System manager of SchoolMessenger - Great Hearts communication system
  • Perform other duties as assigned / needed
  • Provide ongoing feedback and evaluation on performance of Office Managers to Director of Business Support and Sr. VP of Operations.

Qualifications, Competencies & Strengths

  • Prior experience working in a school's front office preferred.
  • Ability to manage, organize confidential data efficiently, and train others is required.
  • Ability to communicate effectively and professionally with peers is required.
  • Strong computer skills utilizing Word, Excel, PowerSchool and the ability to learn new software quickly.
  • Be a self-starter with an ownership attitude and a strong sense of drive and urgency to meet established goals.
  • Possess good supervisor and leadership skills with the ability to motivate and work with and through others to achieve desired results.
