OFFICE MANAGER POSITION
Position Overview: The Office Manager provides comprehensive administrative support to the Superintendent of Schools, managing critical office operations while maintaining confidential records and facilitating communication between administration, school committees, and external agencies for Maine Indian Education.
Essential Duties And Responsibilities
Administrative Leadership
- Act as Office Manager for the Superintendent, keeping them always informed
- Assume responsibility for emergencies in a calm and professional manner
- Maintain and secure confidential files within the Superintendent's Office
- Communicate with Principals, School Committee Members, and federal/state office staff
- Receive confidential messages for the Superintendent when necessary
School Committee Support
- Track regular monthly and special School Committee meetings
- Obtain agenda items, send agendas, and pertinent information in advance
- Plan and provide notice for Joint School Committee meetings
- Attend meetings to record accurate minutes for future adoption
- Maintain accurate School Committee notebooks and policy manuals
- Track School Committee Members' terms of office and notify Tribal Offices of vacancies
Records and Documentation
- Maintain an accurate daily check log of all incoming checks/monies
- Open, date stamp, sort, and route all incoming mail
- Maintain the online MEDMS Staff Information System
- Maintain the MIE staff database and generate reports
- Retain school registers and provide data as necessary
- Maintain accurate employee files for the staff system-wide
Contracts and Grants Management
- Submit state and federal forms to the proper locations
- Submit BIE contracts and grants to the Nashville office
- Maintain accurate BIE original contract and grant applications
- Produce accurate administrative/teacher/support staff contracts annually
Human Resources Support
- Create staff status lists each year for the hiring process
- Place ads for new employee searches and manage the application process
- Maintain ongoing job application files (data saved for 6 years)
- Arrange approved travel for School Committee Members and employees
Technical Skills
- Experience, accuracy, and speed in computer operation
- Proficiency in the MS Office Suite
- Knowledge of filing and telephone procedures
- Skilled with writing and grammar
- Knowledge of all office equipment
- Ability to multitask and work independently
Working Conditions
- Full-time, year-round position
- Professional office environment
- May require sitting, standing, walking, and occasional lifting
Qualifications
- Associate’s degree
- Other relevant education and experience may be considered
- Must hold a valid State of Maine Criminal History Record Check approval
- Substance abuse testing required
