Job summary

Verse Medical seeks an Office Manager to ensure our SF office runs smoothly daily, handling facilities, supplies, and guest experiences. The role requires 1–2+ years in office operations and an ability to work on-site 10–20 hours weekly, with potential to extend to full time.

  • 1–2+ years in office management or workplace operations is required.
  • Impeccable judgment and professionalism; work independently with minimal oversight.
  • Strong organizational skills; create and maintain reliable systems.
  • Ability to work in-person from our San Francisco office 10–20 hours per week; may extend to full time.

Responsibilities

  • Ensure the SF office operates smoothly and efficiently daily.
  • Anticipate and resolve day-to-day office needs to maintain a high-quality environment.
  • Welcome and assist visitors; provide a professional, friendly experience.
  • Maintain organized spaces, kitchen, meeting rooms and shared areas.
  • Oversee office logistics: supplies, deliveries, workspace setup, space planning and access.
  • Ensure conference rooms and A/V systems are functional; liaise with building management on facilities and safety.
  • Manage external vendors (cleaning, maintenance, IT, office supplies) and evaluate performance.
  • Monitor budgets, track spending, and process vendor invoices.
  • Serve as IT operations liaison for basic troubleshooting and equipment setup.
  • Support onboarding and workspace preparation to create welcoming employee experiences.
  • Lead office move-ins/outs and coordinate events (in-office and off-site).
  • Work independently and keep leadership informed and aligned.

What You'll Achieve:

  • Ensure our new SF office operates smoothly and efficiently on a daily basis.
  • Anticipate day-to-day office needs and proactively resolve issues to maintain a high-quality work environment.
  • Serve as the first point of contact for all office visitors, providing a professional and welcoming experience.
  • Maintain an organized and well-stocked workspace, including kitchen areas, meeting rooms, and common spaces.
  • Oversee all office logistics including supplies, deliveries, workspace setup, space planning, and building access.
  • Ensure conference rooms and A/V systems are fully functional.
  • Liaise directly with building management on facilities, maintenance, and safety matters.
  • Contract, manage, and evaluate external vendors including cleaning, maintenance, IT support, and office supply partners.
  • Monitor office budgets, track operational spending, and process vendor invoices.
  • Serve as on-site IT operations liaison, assisting with basic troubleshooting, equipment setup, and hardware inventory.
  • Create a welcoming employee experience by supporting onboarding and workspace preparation.
  • Lead work related to office move-ins and move-outs.
  • Plan and coordinate in-office and off-site events such as company dinners.
  • Work independently and take ownership of office operations while keeping leadership informed and aligned.

Core Skills & Experience:
  • Experience: 1–2+ years of experience in office management, workplace operations, facilities coordination, or some other administrative or in-person coordination role
  • Impeccable Judgment and Professionalism: Works independently with minimal oversight and excellent discernment, escalating issues only when needed, while embracing a proactive and hands-on approach to all tasks.
  • Organized Operator: Creates and maintains reliable systems that keep the office running smoothly
  • On-Site Presence: Ability to work in-person from our San Francisco office 10-20 hours per week. (with an opportunity to extend or convert to full time as our office grows)

  • Work Environment & Location: This role is based in our San Francisco office in Union Square near Chinatown. We have a hybrid model company-wide, but you can expect this role to be 100% in-office
