Job summary

Citizens Medical Center in Victoria, TX seeks an Office Manager for the Hematology and Oncology Clinic (FT). The role oversees administration, staff supervision, and coordination with the Practice Manager to achieve departmental goals.

Qualifications

  • Bachelor's degree in healthcare, business administration or nursing preferred.
  • Texas LVN/RN licensure preferred.

Responsibilities

  • Facilitates training, promotions, performance counseling and evaluations for clinic staff.
  • Determine training and development programs for clinic staff and arrange on-the-job training.
  • Ensure staffing levels are adequate and workloads are distributed equitably.
  • Liaise between clinics, Practice Manager, vendors and healthcare professionals to meet dept. goals.
  • Maintain clinic equipment in good repair and promote a safe environment.
  • Oversee billing processes, posting, and remittance to CMP Business Office.
  • Supervise billing systems and collection processes per hospital policies.
  • Enforce cash handling, POS, and accurate data entry of patient demographics/insurance.
  • Review cost factors affecting administration and clinic operations; take corrective action.
  • Schedule clinic staff and manage time-keeping; handle clinic-specific tasks as needed.

Education

Bachelor's Degree in Healthcare, Business Administration, or graduate of an accredited school of nursing

Office Manager - Hematology and Oncology Clinic (FT)

The Office Manager is responsible for administration, direction and coordination of assigned CMP staff, supervising all support personnel, appointing supervisors and delegating authority and responsibility where need is indicated. The Office Manager works closely with the Practice Manager, clinic personnel, department managers and healthcare professionals as well as external contacts and vendors, utilizing effective communication and organizational skills to achieve departmental goals as determined by Administration.

Job Specific:

  • Facilitates training, promotions, performance counselings and performance evaluations of clinic support personnel in a timely manner. (EF)
  • Determine training and development programs for clinic support staff, developing on-the-job and/or in-service training programs and arranging for such opportunities. (EF)
  • Ensure that the assigned CMP practice is adequately staffed with trained support personnel, evaluating job workloads to ensure equitable distribution and determining whether reduction or additions in personnel are necessary. (EF)
  • Listen and respond to medical and other staff to hear complaints, accept ideas, consult and act as a liaison between assigned clinics and Practice Manager. (EF)

Ensure that all equipment within assigned clinics is maintained in good repair or is replaced as needed and that physical environment is safe.

Ensure all billable services are captured, posted and remitted to CMP Business Office, on a timely basis by developing and implementing processes and facilitating coordination between providers, staff and CMP Business Office. (EF)

Support and supervise the clinics’ billing systems and collection processes, ensuring proper administration of clinic/hospital policies and procedures are taken on accounts receivable and collection accounts. (EF)

Ensure all policies regarding cash handling, POS collections and accurate data entry of patient demographic and insurance are followed. (EF)

Continuously review all factors affecting the cost of administration and the operation of assigned clinics, taking necessary corrective action to keep costs commensurate with Administrative objectives. (EF)

Responsible for scheduling clinic staff and time-keeping. (EF)

May be assigned clinic specific tasks depending on skills; ie. nursing/administrative duties

Hospital:

  • Adheres to organization-wide and other applicable policies and procedures.
  • Day-to-day performance complies with the hospital’s Service Excellence Behavioral Expectations.
  • Performs within the prescribed limits of the hospital’s Ethics, Compliance and Confidentiality Program guidelines.
  • Performs within professional Scope of Practice at all times.

EXPERIENCE

Required: 2+ Years Medical Office Management or equivalent experience

Preferred: Clinic experience related to clinic specialty

Special Skills and Abilities:

LICENSURE / CERTIFICATION REQUIREMENTS

Preferred: Currently licensed as a Licensed Vocational Nurse or Registered Nurse by the State of Texas.
