The position requires 1–3 years in a receptionist/front-office role, strong customer service, and proficiency with Microsoft Office. It is a full-time, non-exempt role reporting to the Executive Assistant.

Qualifications

  • High School diploma or equivalent required; Associate's degree preferred.
  • 1-3 years of experience in a receptionist or front office role (professional services or office environment preferred).
  • Strong customer service and interpersonal skills with a professional demeanor.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and basic office technology.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Clear verbal and written communication skills.

Responsibilities

  • Be the first point of contact by greeting and assisting visitors, clients, vendors, and employees in a courteous and professional manner.
  • Answer, screen, and route incoming phone calls, emails, and general inquiries efficiently and professionally.
  • Prepare correspondence, reports, and internal communications, and support administrative operations through data entry, document creation, filing, and records management.
  • Ensure accurate calendar management, efficient meeting room scheduling, and an organized front desk environment.
  • Manage office supply inventory and coordinate essential administrative logistics.
  • Receive, sort, and distribute incoming mail and packages, and manage outgoing correspondence.
  • Maintain strict confidentiality when handling employee, candidate, and company information.
  • Collaborate cross-functionally with various project teams such as accounting, legal, and leadership to support business operations.
  • Assist in maintaining compliance with company policies, safety protocols, and office standard.
  • Identify and recommend opportunities to improve front-office and administrative processes.

Your Role at Acousti

The Front Desk/Office Coordinator is the first point of contact for visitors, clients, vendors, and team members, providing exceptional administrative support to ensure smooth office operations. Key Responsibilities
