This hybrid role involves office administration, billing, payroll, union reporting, and customer invoicing. Responsibilities include but are not limited to:
  • Manage office administration and organization.
  • Process weekly payroll for approximately 20 employees using QuickBooks.
  • File and pay federal and state payroll taxes after each payroll.
  • File quarterly tax forms accurately and on time.
  • Manage Accounts Receivable (A/R) and Accounts Payable (A/P).
  • Process supplier invoices, tracked by project.
  • Handle miscellaneous vendor invoices (utilities, vehicle payments, insurance).
  • Prepare and send invoices to customers and post payments.
  • Pay suppliers and subcontractors upon project-specific payments.
  • Review and manage customer account statuses.
  • Union Reporting:
    • Prepare monthly payroll summaries.
    • Enter payroll data and submit payments via union web portal.
    • Record union payments in QuickBooks.
  • Prepare lien waivers for customers to facilitate payments.
  • Process AIA billing forms (G702/G703) for specific clients.
  • Complete Sworn Statement documents as required.
  • Use Microsoft Office (Excel, Outlook, Word) proficiently for daily tasks.
Qualifications:
  • Experience as Office Manager, Billing Clerk, Administrator, or similar in construction or related industry.
  • Strong QuickBooks skills, especially payroll and financial reporting.
  • Familiarity with AIA billing forms and construction lien waivers preferred.
  • Ability to file and process federal and state payroll taxes.
  • Proficient in Excel, Outlook, and Word.
  • Notary Public certification is highly beneficial; if not, the ability to obtain it is required.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work independently and multitask in a fast-paced environment.
Schedule:

Monday through Thursday, 32 hours/week, 8:00 am - 4:30 pm
