Office Manager / Accounts Payable Specialist

We are expanding our Walnut Creek team and seek a motivated, detail-oriented individual with excellent communication skills to join us as an Office Manager / Accounts Payable Specialist. This role reports to the People Operations Manager and the Director of Accounting and involves managing office operations, supporting workplace experience, administrative tasks, and accounts payable processes.

Responsibilities include:
  • Maintaining a clean and organized office environment, managing supplies, mail, and vendor relationships.
  • Enhancing workplace experience by greeting visitors, assisting with onboarding, planning events, and supporting employee engagement initiatives.
  • Providing administrative support such as managing communications, shipments, and general office needs.
  • Processing invoices and expense reports accurately using platforms like Bill.com and Expensify, supporting vendor relations, and ensuring financial accuracy.
Qualifications:
  • At least 2 years in office management, operations, or administrative support, with experience in accounts payable.
  • Proficiency in Google Workspace and excellent customer service skills.
  • Strong organizational, multitasking, and communication skills.
  • Ability to work independently, respond to occasional off-hours, and lift objects weighing up to 25 pounds.
Preferred:
  • Experience in tech startups or high-growth environments.
  • Spanish or Russian language skills.
