Job Title: OFFICE ADMINISTRATOR/Manager – SOUTH BEND / ELKHART (SB/EL)

Location: South Bend/Elkhart, Indiana

Salary/Payrate: $70-90K

Work Environment: Onsite

Term: Permanent / Fulltime

FLSA STATUS: Exempt

DEPARTMENT: Office Administration

OFFICE: South Bend and Elkhart

SUPERVISOR(S): Chief of Staff

Bachelor’s degree required: Preferred

Referral Fee: AMS will pay $500 should the person you refer gets hired

Summary

JOB DESCRIPTION: Under general supervision and according to established policies and procedures, the Office Administrator is responsible for the daily administrative functions of the South Bend/Elkhart (SB/EL) offices, including staff supervision, performance management, employee relations, payroll processing, financial reporting, facilities, and marketing support. Confidentiality must be observed in all client and firm matters.

Essential Duties And Responsibilities

  • Serve as the office leader for administrative and local human resources functions for the SB/EL offices, including but not limited to:
  • Ensuring fair and consistent implementation of firm policies and procedures and compliance with applicable laws.
  • Recruiting, hiring, and training office staff.
  • Preparing and maintaining an annual non-exempt staff salary budget.
  • Supervising, counseling, disciplining, and discharging support staff as needed.
  • Working to improve operational efficiency of support staff.
  • Coordinating office workflow and administrative support for legal personnel.
  • Managing coverage for unplanned absences and notifying relevant personnel.
  • Monitoring attorney-to-legal administrative assistant ratios and making adjustments.
  • Conducting annual performance and salary reviews for non-exempt staff.
  • Preparing monthly headcount reports.
  • Conducting new hire orientation.
  • Coordinating logistics for office events.

Financial Management Functions

  • Preparing office checks and maintaining petty cash.
  • Processing invoices for payment.
  • Preparing annual office budgets.
  • Establishing financial controls to optimize costs and profitability.

Facilities Management Functions

  • Handling maintenance requests.
  • Maintaining relationships with building managers.
  • Managing parking contracts and leasehold improvements.
  • Coordinating space planning and capital projects.
  • Managing vendor relationships for supplies and overseeing operations for records and reception services.

Additional Duties

  • Performing other related administrative duties as required.

The employee must be able to perform all essential duties satisfactorily, with or without reasonable accommodations.

Knowledge, Skills And Abilities Required

  • Bachelor’s degree preferred.
  • Five or more years of experience in a law firm or professional services management required.
  • Minimum of three years supervisory experience.
  • Proficiency in Microsoft Office applications.
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to maintain confidentiality.
  • Physical ability to handle materials weighing up to 40 pounds.
  • Minimal travel; valid driver’s license required.
