The Office Manager plays a critical role in ensuring the smooth operation of the office by managing administrative functions, supporting financial processes, providing exceptional customer service, and acting as the local expert for the IFS system. This position supports the General Manager and supervises office personnel to ensure daily tasks are completed efficiently and accurately.
Specific Job Functions:
- Administrative Support:
Serves as the “manager-on-duty” on an as-needed basis, requiring regular and predictable attendance in the office. Responsibilities include managing and supervising all front desk/clerical personnel, including payroll, scheduling, task assignment, performance reviews (including input on pay adjustments), hiring, and discipline consistent with company policy. - Operational Assistance:
Assists the General Manager with managing operations by utilizing independent judgment to review and advise on billing issues, expenditures, and budgetary matters. Coordinates with field teams to address inquiries and ensure seamless operations. - Customer Support:
Acts as the escalation point for complex customer concerns, handling and resolving escalated issues professionally. Manages inbound calls, sales follow-ups, work order reviews, discount applications, collections, and ensures invoice accuracy. - Financial Support:
Manages accounts payable, ensures timely vendor payments, maintains accurate financial records, and supports audits and reporting activities. - IFS System Expertise:
Acts as the local lead for IFS system updates and best practices, provides training and support to staff, and collaborates with corporate and regional teams on system enhancements.
