Job Title: Office Manager (Part-Time)
Schedule: 20 hours per week (Potential for full time position)

Position Summary
We are seeking an organized, compassionate, and detail-oriented Office Manager to support the daily operations of our mental health clinic. This part‑time role is essential to ensuring a smooth, welcoming, and efficient environment for clients and clinicians. The Office Manager serves as a key administrative point of contact and helps maintain compliance, workflow efficiency, and high standards of client care.
Key Responsibilities
Administrative & Office Operations
- Manage day-to-day office operations, including scheduling, phone/email correspondence, and front‑desk coordination
- Maintain office systems, supplies, and vendor relationships
- Ensure accurate record‑keeping and organization of both digital and physical files
- Oversee clinic policies, procedures, and administrative workflows
- Attend staff meeting as required
- Other related duties as assigned
- Serve as a warm, professional first point of contact for clients
- Assist with client intake processes, paperwork, and scheduling coordination
- Support clinicians with administrative needs to allow focus on clinical care
- Address client inquiries with sensitivity, professionalism, and confidentiality
Billing, Insurance & Compliance Support
- Process insurance claims and client billing
- Assist with insurance verification, authorizations, and documentation tracking
- Ensure compliance with HIPAA and other applicable healthcare regulations
Human Resources & Clinic Coordination
- Support onboarding of new clinicians and staff
- Assist with staff scheduling
- Help foster a positive, supportive, and trauma‑informed workplace culture
Qualifications
- Previous experience in office management, healthcare administration, or a related field (preferred)
- Experience in a healthcare setting strongly preferred
- Strong organizational and time‑management skills
- Excellent communication and interpersonal abilities
- High level of discretion and understanding of confidentiality requirements
- Proficiency with office software and electronic health record (EHR) systems
- Ability to work independently and collaboratively in a small team environment
- Pay $20–$23 per hour
- 90‑day probation upon the start of your employment
