Lake Superior Academy is currently hiring a full time Office Manager.

Lake Superior Academy is a small public charter Montessori school serving students in grades K–5, with an early childhood program. We value strong relationships, student independence, family partnership, thoughtful communication, and a commitment to continuous improvement. We are looking for someone who wants to be an important part of a close-knit school community and who understands that a great school office is not simply a place where paperwork gets done. It is a place where students feel known, families feel welcomed, and staff know they have someone helping hold the many pieces of school life together.

Position Overview

The School Office Manager is a welcoming, organized, and dependable presence at the heart of Lake Superior Academy. This position supports the daily operation of the school by managing the front office, maintaining accurate student and school records, communicating with families and staff, and helping ensure that the many details of school life are handled efficiently and thoughtfully.

The School Office Manager is often the first person families, students, staff, and visitors encounter. The ideal candidate is warm and professional, highly organized, able to maintain confidentiality, comfortable managing multiple priorities, and genuinely enjoys working in a school community.

This position works closely with the School Leader, teachers, support staff, families, students, and the school’s management organization to keep school operations running smoothly.

Essential Responsibilities
Front Office & Daily School Operations
  • Serve as the primary point of contact for students, families, staff, and visitors, providing a welcoming and professional front-office experience.
  • Manage daily front-office operations, including phone calls, emails, visitor access, arrival/dismissal support, and general inquiries.
  • Maintain an organized and functional school office and communicate important daily information to staff and school leadership.
  • Assist with substitute coordination, school routines, events, and other daily operational needs.
Student Records & Attendance
  • Maintain accurate, confidential student records, attendance, enrollment, withdrawal, emergency contacts, and required documentation.
  • Monitor attendance, follow up on absences, and assist with state and school reporting requirements.
  • Maintain organized student files and ensure records remain current and compliant with applicable requirements.
Family Communication & Customer Service
  • Serve as a responsive point of contact for families, assisting with routine questions, forms, enrollment, records requests, and other administrative needs.
  • Communicate school information clearly, professionally, and warmly while maintaining confidentiality.
  • Help create a welcoming and positive experience for current and prospective families.
Staff & Administrative Support
  • Provide administrative support to teachers, staff, and school leadership, including forms, documents, mailings, calendars, schedules, and office needs.
  • Assist with staff onboarding, meetings, professional development, and school activities.
  • Maintain organized office files, records, and shared administrative information.
Purchasing, Supplies & Office Management
  • Monitor and order office, classroom, and general school supplies while maintaining appropriate inventory levels.
  • Receive, organize, and distribute mail, deliveries, and school materials.
  • Assist with invoices, receipts, purchasing documentation, bank deposits, and other routine financial tasks.
  • Coordinate food orders and complete occasional local errands to support school operations.
Health, Safety & Student Support
  • Maintain required health, emergency, and medication records and follow established procedures related to student health and safety.
  • Support emergency procedures, drills, and communication with families, school leadership, or emergency services as needed.
  • Maintain confidentiality regarding student health and other sensitive information.
School Events & Community Support
  • Assist with the planning and logistics of school events, including registration, sign-in, materials, communication, and other administrative needs.
  • Support school-wide communications and contribute to a welcoming, positive school community.
Professional Responsibilities
  • Maintain confidentiality, professionalism, sound judgment, and appropriate boundaries when working with students, families, and staff.
  • Follow school policies, applicable laws and regulations, and the mission and values of Lake Superior Academy.
  • Participate in professional development and school meetings as appropriate.
  • Perform other duties as assigned by the School Leader that are reasonably related to the position.

  • Experience with basic bookkeeping, purchasing, or financial recordkeeping.
  • Successful completion of required background checks and employment screening.

Schedule: Full-time, school-year position. Regular hours are 7:30 AM–4:00 PM, Monday through Friday, with a 30-minute unpaid lunch break each day.

Reporting Relationship

The School Office Manager reports directly to the School Leader and works collaboratively with the Head of School, teachers, support staff, families, and CS Partners.
