Job description

Rigle is a global eCommerce accelerator that partners with high-potential brands to build, scale, and protect their presence across major marketplaces, with Amazon as our core focus. We operate with the same rigor as top Amazon-native teams, combining deep platform expertise, strong internal processes, and data-driven decision making.

We manage large, complex catalogs across multiple brands and categories, and we’re obsessive about quality, process, and operational scalability. As our team grows, we want our office to be a place people are proud of and excited to come to every day. We’re looking for an energetic, highly organized Office Manager to own our workplace from end to end.

Position Overview:

As our Office Manager, you’ll be the heartbeat of the Rigle office. You’ll own everything that keeps it running smoothly: facilities, vendors, supplies, administrative operations, and new hire logistics. Just as important, you’ll shape what it feels like to work here. That means planning team events and celebrations, creating a welcoming and energizing atmosphere, and making sure every team member and visitor has a great experience.

This role is ideal for a warm, outgoing, and proactive person who notices the details, loves bringing people together, and takes pride in a well-run workplace. You’ll work closely with the CEO, our Staff Accountant, and team leads. This isn’t a passive front-desk role. It requires initiative, creativity, strong vendor management, and full ownership of the office environment.

Key Responsibilities:
Office Atmosphere & Workplace Experience
  • Create a welcoming, positive, and energizing office environment that reflects Rigle’s culture and values.
  • Continuously improve the workplace, from layout and décor to snacks, beverages, and break room experience, within budget.
  • Act as the first point of contact for team members and visitors, making every interaction friendly and professional.
  • Gather team feedback regularly and turn it into practical improvements to the office experience.
  • Recognize birthdays, work anniversaries, and team milestones.
Event Planning & Team Engagement
  • Plan and run company events end to end, including team lunches/dinners, holiday parties, offsites, celebrations, and team‑building activities.
  • Manage event budgets, venues, catering, vendors, invitations, and day‑of logistics.
  • Build an annual calendar of engagement activities that keeps the team connected and motivated.
  • Coordinate logistics for client, brand partner, and vendor visits and meetings, so guests get a polished experience.
Facility Management & Office Operations
  • Own day‑to‑day facility operations: cleaning, maintenance, repairs, HVAC, security and access control, parking, and building or landlord communication.
  • Manage relationships and contracts with facility vendors such as janitorial, pest control, internet, phones, printers, and other office services.
  • Coordinate office improvements, furniture, buildouts, and space planning as the team grows.
  • Keep the office safe and compliant: emergency procedures, first aid supplies, required labor law postings, and support for our workplace safety program.
  • Coordinate with IT and network vendors on equipment setup, connectivity issues, and office technology.
Administrative & Executive Support
  • Order and manage office supplies, kitchen inventory, and equipment, keeping costs within budget.
  • Handle mail, packages, deliveries, and courier services.
  • Support the CEO with calendar coordination, meeting scheduling, travel booking, and special projects as needed.
  • Track office spending and vendor invoices, and submit them to Accounting for processing.
  • Prepare for new team members: workstation, equipment, access badges, welcome kits, and a great first day.
  • Partner with our Staff Accountant and leadership on onboarding paperwork, employee records, and offboarding logistics.
  • Keep team directories, office policies, and the employee handbook up to date.
  • Build and maintain office SOPs, vendor lists, event playbooks, and checklists in tools like Asana and Notion.
Required Qualifications:
  • 3+ years of experience as an office manager, workplace coordinator, or in a similar role.
  • Proven experience planning and running company events from start to finish.
  • Hands‑on experience managing facilities, building maintenance, and vendor relationships.
  • Warm, outgoing, and positive personality with excellent communication and people skills.
  • Highly organized, detail‑oriented, and able to juggle many priorities in a fast‑paced environment.
  • Comfortable managing budgets and tracking expenses.
  • Proficient in Google Workspace and/or Microsoft Office.
  • High integrity and discretion with confidential company and employee information.
What We Offer:
  • Compensation: $60,000–$72,000 per year, based on experience.
  • Group health insurance and CalSavers retirement program.
  • Full‑time, long‑term position with stability and growth.
  • A high‑ownership role with real authority to shape our workplace and culture.
  • A creative, people‑focused role where your impact is visible every day.
  • A professional, process‑driven environment that values initiative and attention to detail.
  • Opportunity to grow into a Workplace Experience Manager or People Operations role as Rigle scales.
