Since 2014, the mission-driven team at the Stellar Development Foundation (SDF) has helped fuel the tremendous growth of the Stellar blockchain network, an open-source platform that operates at high scale today. Developers and companies around the world build on it, and the SDF team is expanding to support the rapidly growing and changing Stellar ecosystem.

The office manager will play a vital role in fostering a positive work environment at SDF by providing excellent administrative and organizational support to our San Francisco Office. They will focus on operational efficiency, help cultivate an inclusive and creative office culture, and support the multi-faceted needs of the SDF team.

The ideal candidate will have exceptional interpersonal, written, and verbal communication skills, be highly organized, and demonstrate the ability to work independently while exercising sound judgment.

In this role, you will:

  1. Office Operations: Oversee the seamless functioning of the office on a daily basis, ensuring all administrative processes run smoothly. Manage office supplies, equipment, kitchen essentials, and overall office facilities to maintain a productive and comfortable workspace. Optimize office space utilization through space planning, layouts, and floor moves.
  2. Front Desk Management: Greet, welcome and assist visitors, handle incoming communications, and distribute mail and packages promptly.
  3. Vendor Coordination: Act as the primary contact for vendors and service providers, ensuring timely delivery of goods and services. Negotiate contracts, manage vendor relations, office budgets, and service agreements.
  4. Facilities: Manage facilities functions including reception, catering, furnishings, maintenance, and supplies. Communicate effectively with vendors and property managers. Manage food and beverage offerings to foster a positive company culture.
  5. Health & Safety Compliance: Ensure adherence to health and safety standards. Develop and maintain safety procedures to create a secure work environment.
  6. Event Coordination: Collaborate with the Employee Engagement Manager to plan and execute company events, including social gatherings, meetings, offsites, and volunteer activities. Coordinate logistics and catering to ensure successful events, including onsite happy hours.
  7. Culture: Act as a culture ambassador and resource for employees, addressing operational concerns and enhancing workplace experience.

You have:

  • 3+ years of experience in office management or similar roles, working onsite and with remote teams
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple projects and priorities
  • Strong communication skills across all organizational levels
  • Knowledge of operational and facilities practices
  • Ability to analyze data and prepare reports for leadership
  • Problem-solving skills and professional leadership
  • Requires daily onsite presence

We offer a competitive salary range of $75,000 - $105,000, dependent on experience and location, along with various benefits including health coverage, flexible time off, parental leave, wellness stipends, 401K matching, and more.
