As the Office Manager, you will be the backbone of our daily operations, ensuring our design and construction team runs smoothly. This role is perfect for someone who thrives in a dynamic environment, is highly organized, and excels in communication. You will handle various accounting tasks, manage financial processes, and support our staff and customers.

Responsibilities

  • Manage QuickBooks, budgeting, and billing cycles for the businesses.
  • Pay invoices and manage accounts payable/receivable.
  • Track budgets through JobTread construction management software.
  • Assist with HR-related tasks such as maintaining employee records and processing payroll.
  • Plan and organize company events and team-building activities.
  • Assist staff and customers with seamless business operations.
  • Assist in the preparation of regularly scheduled reports.
  • Handle occasional company correspondence, including phone calls and emails.
  • Organize meetings, and manage calendars.
  • Maintain a clean and organized office environment.
  • Conduct onboarding and training for new employees.

Qualifications

  • Proven experience as an Office Manager, preferably in the construction industry (+5 years).
  • Exceptional organizational and time management skills.
  • Outstanding verbal and written communication abilities.
  • Strong knowledge of accounting procedures, including bookkeeping and general financial processes.
  • Proficiency in QuickBooks Online and other office management tools.
  • Familiarity with computer programs such as Word, Excel, Google Drive, and specialized office management tools.
  • Proficiency in filing and paper management, including handling confidential information.
  • Excellent problem-solving skills and a proactive approach to helping others.
  • Knowledge of construction management software is highly desirable.
