Roles and Responsibilities
The Office Manager plays a key role in ensuring smooth day-to-day operations and providing high-level administrative support to leadership. This position is responsible for a variety of essential office functions, including front desk reception, mail handling, office vendor management, and coordination of calendars, meetings, travel arrangements, and expense reporting for the leadership team.
In addition to administrative duties, the Office Manager oversees the Lewer Caf, preparing coffee and snacks, restocking of food and beverages, and end-of-day kitchen cleanup. The role also collaborates closely with the Events Committee to assist in planning and executing companywide events, contributing to a positive and engaging workplace culture.
Your Key Areas of Impact
Streamlined Office Administration : You serve as the first point of contact for visitors and callers to the Lewer Administrative Offices, ensuring a welcoming and professional environment. Manage key operational tasks including routing mainline calls, distributing, and sending out mail, maintaining a clean and organized office including all common spaces, event planning, caf spaces, and overseeing office supply inventory and ordering. Responsibilities include coordinating new associates onboarding workspace preparation, and even plants through vendors or stepping in during their absence. Generally, you provide administrative support to enhance overall efficiency. Your strong attention to detail and organizational skills help reduce errors, streamline processes, and conserve valuable time and resources across the organization.
Executive Administration : You provide comprehensive administrative support to Executive Leadership, including tracking and submitting expense reports, coordinating travel arrangements, and managing complex calendars. Support strategic initiatives by applying effective project management practices, developing detailed project outlines with defined tasks, timelines, and resource requirements, and delivering regular progress updates to key stakeholders. Your care and support will help our leaders make informed and timely decisions, improve internal communications, and maintain compliance with internal policies and external regulations.
Office Vendor Management : You serve as primary point of contact for office vendor relationships, handling requests and coordination with suppliers and providers. This includes vendors for purified water, cleaning services, event venues and services, corporate massage therapy, dry cleaning, and retail partners such as Costco and Amazon, among others. Your strong attention to detail and commitment to quality will ensure the delivery of efficient, cost-effective solutions that support and align with our business goals.
Cross-Functional Collaboration : Your collaborative approach in working with various internal and external stakeholders is vital to the organization's success. Your effective communication skills, financial and budgeting skills, relationship-building, and teamwork foster a culture of collaboration and enable successful partnerships, benefiting the organization's overall business objectives.
The Work Environment, Physical Demands, and Travel
This position is not eligible for work-from-home; your work is conducted primarily at the Lewer Administrative Offices. You must be able to remain in a stationary position 75% of the time, and be able to occasionally move about inside the office to access filing cabinets, office machinery, etc. You will operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer 95% of the time. You will need to be able to lift to 20 lbs.
Travel may be required for this seat and is less than 5%. Reliable transportation required for supply pickup and infrequent post office visits. Mileage will be paid at the federal per diem rate.
Your Qualifications :
Requirements
You have spent at least two years in client care, executive administration and / or projects or account management roles that have helped you develop excellent internal and external services skills. You may hold a bachelor's degree from an accredited university in the field of business, public relations or a related field. You are experienced in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
