Job summary

Analytic Partners is seeking an Office Manager to join our dynamic Human Resources Team across multiple disciplines. The role supports offices around the world and helps leaders with resourcing and ad hoc projects.

We look for at least 3 years in customer service or administrative support, with a customer-first mindset, strong organization, and excellent communication skills. This position offers a hybrid work model in New York with competitive hourly pay.

Qualifications

  • At least 3 year of prior experience in a customer service, hospitality, or administrative support role.
  • A customer-first mindset, with professionalism and discretion in all interactions.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Proactive problem-solving approach and willingness to "jump in" wherever needed.
  • Strong verbal and written communication skills.
  • Reliability and integrity when handling confidential information.
  • Ability to build positive relationships across all levels of the organization.
  • Proficiency with Microsoft Office Suite, Outlook, and basic office technology.

Responsibilities

  • Ensure all building systems are operational and are maintained in accordance with company policies, environmental regulations, building codes, and local/national regulations
  • Respond to building occupant maintenance/repair requests
  • Coordinate and manage repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, and janitorial work
  • Ensure vendor services are performed timely and properly and escalte issues timely
  • Obtain and review price quotes for the procurement of parts, services, and labor for projects
  • Coordinate and manage office moves, adds, and change activities
  • Meet with vendors and obtain cost estimates for space-related projects and assist with furniture setup and relocation
  • Provide coordination and support events, meeting, and conference facilities as required
  • Coordinate the delivery of amenities and supplies which include food services, food cleanup, office supplies, event set up, event tear down, IT equipment, etc.
  • Assist the Human Resources team with employee onboarding and IT access
  • Provide administrative support to Americas leaders on resourcing requests and ad hoc projects
  • Other duties that may include but are not limited to reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations and management of building access passes, safety, and security support

The Office Manager is a part of dynamic Human Resources Team that supports the business across multiple disciples, including supporting our offices in 8 countries around the world. $30 - $38 an hour
