The Office Manager serves as the operational hub of Jewish Family Service, ensuring the smooth and efficient functioning of daily office operations. This role provides administrative, bookkeeping, donor management, client service, and meeting support while serving as a key point of contact for clients, donors, staff, and community stakeholders.
Job Responsibilities
Office & Administrative Operations
- Serve as the first point of contact for clients, donors, and visitors.
- Provide general administrative support, including data entry, filing, copying, mailing, and shipping.
- Maintain strict confidentiality of client, donor, and organizational information.
- Order, track, and maintain office supply inventory in a cost conscience manner.
Board & Committee Support
- Distribute meeting notices and communications and track RSVPs
- Prepare meeting materials and board packets.
Clinical Support
- Process documentation related to opening and closing client cases.
- Maintain accurate clinical case records and archives.
- Track active caseloads by staff member, case type, and master client list.
- Update and maintain caseload data.
- Prepare quarterly statistical reports.
- Enter client charges into QuickBooks.
- Process client payments.
- Verify insurance coverage, copays, and deductibles.
- Enter donations and pledges into DonorPerfect and QuickBooks.
- Generate and send donor acknowledgments and thank-you letters in a timely manner.
- Track and manage RSVP responses for fundraising events.
- Assist with development activities, agency programs, and special events.
Qualifications
Required
- 2 to 3 years of office administration experience.
- Proficiency with Microsoft Office and OneDrive.
- Strong organizational, multitasking, and time-management skills.
- Exceptional attention to detail and accuracy.
- Ability to work collaboratively with professional staff.
- Strong interpersonal and customer service skills.
- Ability to maintain confidentiality and handle sensitive information.
- Mandatory background check.
Preferred
- Experience with QuickBooks.
- Experience with donor management software, particularly DonorPerfect.
- Experience supporting nonprofit, social service, or healthcare environments.
