Job summary

Shalom Task Force is a nonprofit dedicated to combating domestic violence and promoting healthy relationships within the Jewish community. We are seeking an Outreach and Operations Coordinator to support daily operations, fundraising activities, outreach initiatives, and internal communications.

The ideal candidate is proactive, organized, and collaborative, able to coordinate across departments such as Hotline, Education, Legal, Development, and Administration.

Qualifications

  • Bachelor's degree or equivalent required.
  • 1–2 years in nonprofit operations, fundraising, administration, or related field.
  • Experience with digital tools and databases preferred.

Responsibilities

  • Support day-to-day office operations including phone line and mail.
  • Maintain donor database, enter gifts, and assist with data cleaning.
  • Generate fundraising reports and drafts acknowledgment letters.
  • Coordinate internal/external communications and outreach calendars.
  • Assist with onboarding and HR-related tasks.

Shalom Task Force is a nonprofit organization dedicated to combating domestic violence and promoting healthy, safe relationships within the Jewish community. We provide education, resources, and culturally responsive support to individuals and families, helping create safer homes and communities.

Position Summary

Shalom Task Force is seeking a motivated, highly organized, and detail-oriented Outreach and Operations Coordinator to support the organization's daily operations, fundraising activities, outreach initiatives, and internal communications.

This position plays an important role in ensuring that organizational systems run smoothly and that Shalom Task Force communicates consistently and effectively with donors, community partners, staff, and other stakeholders.

The ideal candidate is proactive, collaborative, and comfortable managing multiple priorities. They will be able to work independently while coordinating effectively across the organization's Hotline, Education, Legal, Development, and Administrative teams.

Key Responsibilities
Office and Administrative Operations
  • Support day-to-day office operations, including answering the main phone line, checking and distributing mail, shipping packages, and monitoring the organization's central email inbox.

  • Help maintain an organized, professional, and welcoming office environment.

  • Coordinate staff meetings, internal activities, and organizational logistics.

  • Assist with special projects and provide administrative support across departments as needed.

Database and Fundraising Support
  • Maintain and update the donor database, ensuring that records are accurate, complete, and current.

  • Enter gifts, update donor information, and support data-cleaning and record-management processes.

  • Generate reports and analyze data to support fundraising, donor engagement, and organizational planning.

  • Write and send personalized acknowledgment letters and thank-you notes to donors and supporters.

  • Assist with the planning and execution of fundraising initiatives and events, including Shalom Task Force annual brunch.

Communications and Outreach
  • Coordinate internal and external communications, including email campaigns, social media content, press releases, staff communications, and outreach materials.

  • Draft, edit, schedule, and post engaging content across the organization's communication platforms.

  • Develop and maintain an outreach and communications calendar to ensure timely and consistent messaging.

  • Help identify opportunities to strengthen community engagement and expand awareness of Shalom Task Force programs and resources.

  • Coordinate with staff across departments to gather updates, program information, and content.

Human Resources and Staff Support
  • Assist with employee onboarding, including preparing new-hire paperwork and coordinating orientation schedules.

  • Support benefits administration and other human resources processes.

  • Maintain organized and confidential employee records.

  • Assist with staff-related administrative tasks and internal initiatives.

Who You Are
  • Experienced: You have one to two years of professional experience in development, nonprofit operations, administration, data entry, marketing, communications, or a related field.

  • Technologically Proficient: You are comfortable learning and using digital tools and databases. Experience with the following platforms is strongly preferred:

  • Salesforce

  • Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook

  • Social media platforms, including Instagram and Facebook

  • Email marketing platforms, including Constant Contact

  • Canva or similar design tools

  • Systems-Oriented: You are comfortable following established processes and completing work with a high level of accuracy. You are also interested in identifying ways to improve systems, workflows, and organizational efficiency.

  • Organized and Efficient: You can manage multiple projects, track details, prioritize competing responsibilities, and meet established deadlines.

  • Highly Collaborative: You enjoy working across teams and are comfortable supporting colleagues in different departments, including Hotline, Education, Legal, Development, and Administration.

  • Self-Motivated: You take initiative, anticipate needs, and can independently move projects forward while knowing when to seek guidance or input.

Work Schedule and Location

This is a full-time position based at Shalom Task Force main office.

  • Employees are expected to work onsite four days per week.

  • Fridays may be worked remotely, subject to organizational needs and the terms of Shalom Task Force remote-work agreement.

  • Occasional travel to satellite offices, events, or community locations may be required.

Compensation

The salary range for this position is $50,000–$58,000, commensurate with experience.
