A well-established law firm is seeking an experienced, organized, and highly professional Office Manager to oversee the day-to-day administrative and operational functions of the office. This individual will play a key role in ensuring the firm operates efficiently while supporting attorneys, legal staff, and administrative personnel.
The ideal candidate is a proactive problem-solver with strong organizational, communication, and leadership skills. Prior experience working within a law firm or professional services environment is strongly preferred.
Key Responsibilities
Office Operations & Administration
- Oversee the daily operations of the law office and ensure a professional, organized, and efficient workplace.
- Manage office procedures, administrative workflows, and internal processes.
- Coordinate office maintenance, facilities, equipment, supplies, and vendor relationships.
- Serve as the primary point of contact for building management and outside service providers.
- Maintain office records, contracts, subscriptions, and administrative documentation.
- Identify opportunities to improve operational efficiency and office procedures.
Staff Management & Support
- Supervise and provide day-to-day direction to administrative and support staff.
- Assist with onboarding and offboarding employees, including workspace, equipment, systems access, and orientation.
- Coordinate employee schedules, PTO requests, coverage, and general office staffing needs.
- Support attorneys and leadership with administrative and operational matters.
- Help maintain a positive, professional, and service-oriented office environment.
Legal Office Support
- Ensure attorneys and legal professionals have the administrative resources necessary to effectively serve clients.
- Coordinate conference rooms, client meetings, depositions, and other firm-related meetings.
- Assist with document management, records retention, filing systems, and confidential materials.
- Work closely with attorneys, paralegals, legal assistants, and other staff to address operational needs.
- Maintain the highest level of confidentiality when handling client, employee, and firm information.
- Assist with processing invoices, expense reports, vendor payments, and office-related expenditures.
- Coordinate with accounting or firm leadership regarding budgets and operational expenses.
- Manage relationships with office vendors and negotiate service agreements when appropriate.
- Monitor office expenditures and identify opportunities for cost efficiencies.
Human Resources & Firm Administration
- Support recruiting, interviewing, onboarding, and employee documentation as needed.
- Maintain personnel records and assist with firm policies and procedures.
- Coordinate employee events, meetings, training sessions, and firm initiatives.
- Assist leadership with employee relations and general HR administration.
- Help ensure compliance with applicable workplace policies and procedures.
Qualifications
- 3+ years of office management, administrative management, or legal operations experience preferred.
- Previous experience within a law firm, legal department, or professional services environment strongly preferred.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Professional demeanor with strong interpersonal and client-service skills.
- Demonstrated ability to manage confidential and sensitive information.
- Strong problem-solving skills and ability to work independently.
- Experience supervising administrative or support staff preferred.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
- Familiarity with legal practice management, billing, document management, or timekeeping software is a plus.
