Job summary

Senior Helpers of Glenwood Springs is seeking an organized, dependable Office Manager to handle day-to-day administrative operations of our growing home care agency in Western Colorado. This role supports caregivers, billing, payroll, and client relations, while maintaining records and ensuring smooth office functions.

Qualifications

  • Two or more years of experience in office administration or a similar role.
  • Strong organization and attention to detail.
  • Comfort working with payroll, invoices, spreadsheets, records, and business software.
  • Homecare and/or WellSky experience is a plus.
  • Strong written and verbal communication skills.
  • Good judgment when handling confidential information.
  • Ability to prioritize when several things need attention at once.
  • Friendly and professional manner with clients, families, caregivers, and applicants.
  • Takes ownership and follows through without constant reminders.

Responsibilities

  • Manage day-to-day administrative operations of the office.
  • Answer incoming calls and communicate professionally with clients, families, caregivers, applicants.
  • Enter prospective client leads and maintain accurate information in our home care software.
  • Prepare client welcome packets, Care Plan Binders, employment paperwork, and other required documentation.
  • Maintain organized and accurate electronic and physical records.
  • Help keep the office professional, welcoming, and running smoothly.
  • Prepare and review client billing, monitor accounts receivable, and follow up on outstanding balances.
  • Enter and organize vendor invoices and assist with accounts payable.
  • Review caregiver timekeeping, pay rates, and hours for accuracy, and prepare payroll.
  • Maintain caregiver and internal payroll documentation.
  • Help move caregiver applicants through hiring and onboarding, including reference/background checks.
  • Track administrative deadlines and help improve office processes as we grow.
  • Assist other team members and handle additional duties as needed.

Senior Helpers of Glenwood Springs is looking for an organized, dependable, and people-oriented Office Manager to help run the day-to-day administrative operations of our growing home care agency.

This is more than a front-desk position. Our Office Manager will play a central role in keeping our office organized, our caregivers supported, our billing and payroll accurate, and our clients and families well taken care of.

We are a locally owned Senior Helpers franchise serving the Roaring Fork Valley and surrounding Western Slope communities. We are building a small, capable team where people are trusted to take ownership of their work and help create better ways of doing things as we grow.

What You’ll Do
Office & Client Support
  • Help manage the day-to-day administrative operations of the office.
  • Answer incoming calls and communicate professionally with clients, families, caregivers, applicants, and community partners.
  • Enter prospective client leads and maintain accurate information in our home care software.
  • Prepare client welcome packets, Care Plan Binders, employment paperwork, and other required documentation.
  • Maintain organized and accurate electronic and physical records.
  • Help keep the office professional, welcoming, and running smoothly.
Billing, Payroll & Accounting Support
  • Prepare and review client billing for accuracy and timeliness.
  • Monitor accounts receivable, record payments, and follow up on outstanding balances.
  • Maintain documentation related to 3rd Party payor programs.
  • Enter and organize vendor invoices and assist with accounts payable.
  • Review caregiver timekeeping, pay rates, and hours for accuracy.
  • Prepare caregiver and internal payroll according to established deadlines.
  • Maintain accurate supporting documentation for billing, payroll, and accounting.
Recruitment & CaregiverOnboarding
  • Help move caregiver applicants through the hiring and onboarding process.
  • Coordinate reference checks, background checks, and required employment documentation.
  • Prepare new-hire paperwork and onboarding materials.
  • Maintain complete and accurate caregiver personnel files.
  • Enter and maintain caregiver information in our home care software.
  • Help caregivers complete onboarding and training requirements.
General Operations
  • Track administrative deadlines and follow up when something needs attention.
  • Help develop and improve office processes as the business grows.
  • Assist other members of the team when needed.
  • Handle other reasonable office and administrative responsibilities that come with helping run a growing small business.
What We’re Looking For
  • Two or more years of experience in office administration, office management, healthcare administration, payroll, bookkeeping, HR, or a similar role.
  • Strong organization and attention to detail.
  • Comfort working with payroll, invoices, spreadsheets, records, and business software.
  • Homecare and/or WellSky experience is a plus.
  • Strong written and verbal communication skills.
  • Good judgment when handling confidential information.
  • Ability to prioritize when several things need attention at once.
  • A friendly and professional manner with clients, families, caregivers, and applicants.
  • Someone who follows through, takes ownership, and doesn't need to be reminded about every next step.

Experience in home care, healthcare, payroll, HR, bookkeeping, or medical-office administration is helpful, but not required for the right person.
