As our Office Manager, you’ll have the opportunity to help shape the heart of our Chicago headquarters. You’ll own responsibilities across mail management, vendor coordination, financial processes, and overall office organization while ensuring our team has what they need to excel. This role is a chance to be at the center of a fast-paced, high-growth organization and contribute directly to its success.
Manage office operations including physical and digital mail processing, supply inventory/ordering, equipment maintenance and repairs, and ensuring a welcoming and organized office environment.
Provide IT support including setup, troubleshooting, maintaining digital file organization within Google Drive, and proactively implementing new technology to enhance efficiency and productivity.
Oversee financial and vendor management including expense tracking, reconciliation, rent deposits, and coordinating with vendors for services and supplies.
Drive process improvement and project management by analyzing and enhancing office procedures, workflows, and communication systems, and proactively managing ad-hoc projects and office improvements.
Support team and cultivate office culture including meeting scheduling, onboarding assistance, event planning, and fostering a positive and engaging work atmosphere.
Support marketing and communications including but not limited to, supporting the creation of marketing campaigns, and updating company websites.
Must-Haves:
1+ year(s) of experience in office management, administrative support, or a similar role.
Strong organizational and time-management skills with attention to detail.
Excellent written and verbal communication skills, including professionalism and empathy.
Tech-savvy, with an ability to learn and implement new tools.
Proactive with an ability to adapt to changing priorities and manage multiple tasks.
Love-to-Haves:
Experience in the real estate industry.
Familiarity with accounts receivable processes and vendor management.
Proficiency with Google Workspace and general office software.
Compensation: $20-$25 per hour, commensurate with experience and qualifications.
