Responsibilities
  • Manage day-to-day office needs, support scheduled facility maintenance, safety initiatives, and general administrative duties.
  • Maintain physical and digital filing systems for facilities and safety documents.
  • Manage outside vendors to ensure timely and compliant facility maintenance.
  • Assist Sales and Operations teams with customer documentation such as contracts.
  • Schedule appointments, sign for incoming packages, and assist visitors during onsite events.
  • Draft and edit correspondence related to facilities, safety, and office topics.
  • Maintain databases and spreadsheets for expenses, attendance, and event RSVPs.
  • Ensure safety information and supplies are up-to-date and compliant.
  • Support the Operations Manager and team on expansion and new building projects.
  • Manage calendars, travel arrangements, and prepare meeting agendas/minutes.
  • Coordinate logistics for meetings, including setup, conferencing, and catering.
  • Maintain office equipment and support inventory needs.
  • Handle sensitive information with discretion and ensure compliance with privacy policies.
  • Provide general project support and use office software for document creation and editing.
Qualifications

Preferred:

  • Bachelor’s degree in business administration or related field.
  • Experience as Office Manager or Executive Assistant.
  • Experience with SAP, Concur.

Minimum:

  • Associate’s degree in a related field.
  • Prior administrative experience.
  • Excellent computer skills, especially typing.
  • Attention to detail and proactive attitude.
  • Ability to meet deadlines and adapt to changing priorities.
  • Professional and positive demeanor.

Salary range: $73,000 - $108,000, with benefits including 401(k), stock purchase, health plans, and paid time off.
