We are seeking a motivated, detail-oriented Assistant Project Manager / Office Engineer to join our team supporting heavy civil and sitework construction projects for municipal and public agency clients across the New York metropolitan area. This role bridges the field and the office, combining project coordination, procurement support, subcontractor coordination, document control, and hands-on field operations support.

Key Responsibilities
Project Documentation & Coordination
- Prepare, track, and manage RFIs, submittals, transmittals, permits, meeting minutes, and project correspondence.
- Maintain organized digital and physical project files, including drawings, reports, permits, and contract documentation.
- Coordinate document flow between project managers, superintendents, subcontractors, suppliers, owners, and design teams.
- Read and interpret civil/sitework drawings, specifications, and contract documents.
- Identify inconsistencies, missing information, and potential field conflicts.
- Support constructability reviews, quantity takeoffs, and change order documentation.
Procurement & Subcontractor Coordination
- Assist with obtaining and evaluating subcontractor and supplier quotations.
- Coordinate procurement activities, including material tracking, lead times, submittals, and deliveries.
- Support subcontract administration, including correspondence, performance, and payment documentation.
Field & Construction Support
- Participate in field coordination and construction observation to verify work aligns with plans and specifications.
- Assist with layout verification, production tracking, quantity tracking, and field documentation.
- Coordinate with field crews and superintendents on daily operations, scheduling, and site logistics.
Public Agency & Permit Coordination
- Assist with coordination involving DOB, DEP, DOT, utility companies, and other public agencies as required.
- Support permit tracking, inspections, and agency documentation requirements.
Qualifications
- 3–5 years of experience in civil/sitework construction, with exposure to excavation, utilities, concrete, or site development. Field experience (internship or full-time) is a plus.
- Bachelor’s degree in Civil Engineering, Construction Management, or a related field preferred but not required; equivalent field experience will be considered.
- Experience working on municipal or public agency projects is a plus.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced construction environment.
- Self-motivated, with strong follow-through and attention to detail.
- OSHA 30 and/or SST 62 preferred or willingness to obtain upon hire.
Technical Skills
- Proficient in Bluebeam / Adobe PDF for drawing review and document management.
- Working knowledge of AutoCAD for viewing and minor edits.
- Intermediate Microsoft Excel skills (tracking logs, basic formulas); working knowledge of Word and Microsoft Project.
- Eagerness to learn construction management and document control software platforms.
- Comfortable troubleshooting minor computer and office-related issues as needed.
- Bonus: experience with Procore, Autodesk Construction Cloud, Primavera P6, or similar platforms.
- Small, hands-on team with direct exposure to senior management.
- Fast-paced construction environment with multiple active projects.
- Requires independent thinking, prioritization, and follow-through.
- Work locations vary based on project needs, primarily across Long Island, NYC, and surrounding regions.
- Clear pathway for growth into full Project Management roles.
Additional Requirements
- Valid driver’s license and reliable transportation; willingness to travel between offices, jobsites, suppliers, and agencies.
- Familiarity with civil/sitework scopes: excavation, utilities, concrete, asphalt, unfinished carpentry, small-scale steel erection/miscellaneous metals, and site amenities.
- Strong organizational and time-management skills; strong written and verbal communication.
- Ability to work independently as well as part of a team.
- Ability to traverse active jobsites (uneven ground, excavations, ladders, varying weather) and lift up to 50 lbs.

- Field experience (internship or full-time) supporting sitework or civil construction operations.
- Experience with project management or document control systems.
- Experience navigating public agency documentation and approval processes.
