General Definition of Work

Performs technical work to coordinate student information system activities. Provides primary support and training for users of the student information system. Other work consists of varied administrative support duties involving a wide range of processes and methods. Requires a broad knowledge of County and/or school operations and frequent contacts with top-level officials. Work is performed under general supervision with considerable latitude for independent judgment.

Essential Functions
  • Oversees the school's or program's student information system application including data entry, data validation, and reporting;
  • Trains school building/program users on the student information system application and network operations;
  • Coordinates existing administrative procedures and handbooks with student information system operations;
  • Performs quality checking on data entry by other school or program staff;
  • Designs and executes complex queries of the student database for reporting and analysis;
  • Meets division and school deadlines for processing and reporting student data;
  • Participates in student information system users' group(s) as appropriate;
  • Participates in development and delivery of division-wide training on the student information system;
  • Works with Information Services to maintain necessary files, directories, and updates to student information system software;
  • Works with Information Services and school or program staff to determine hardware needed to support users' requests and advises on hardware purchases to comply with Information Services standards;
  • Responsible for completion of complex administrative and technical assignments;
  • Regularly responsible for complex payroll related tasks;
  • May screen applicants and conduct interviews, and included in hiring/promotion/termination decisions;
  • Communicates with department employees on personnel-related programs;
  • Works independently on complex projects including preparation of budgets and reports, administration of grants, and accounting systems;
  • Routinely prepares and administers department budget;.
  • Monitors multiple department accounts and completes all bookkeeping tasks, and handles purchase orders/requisitions, receiving reports;
  • Prepares correspondence for department and responds to general inquiries;
  • Answers and screens calls, and gathers information to provide appropriate response;
  • Gives direction to administrative staff who provide reception coverage for school;
  • Responds to difficult customer-related issues and resolves them accordingly;
  • Establishes and maintains files, frequently of a confidential and/or sensitive nature;
  • Creates bulk mailings using databases and mail merge features;
  • Plays significant role in office management and oversight for unit/department; Frequently provides back-up to department/unit head in his/her absence;
  • May serve on special and/or regular teams and committees, serves on the school Crisis Team;
  • Frequently provides day-to-day direction for or has responsibility for supervision of administrative services within the department/unit;
  • Dispenses meds, provides basic first aid, and monitors students with medical special needs;
  • Performs various other functions as required.
Knowledge, Skills and Abilities

Knowledge of database management, word processing, spreadsheets, and data communications; ability to organize and plan work for self and others; ability to develop training materials and skills in conducting training; and ability to communicate effectively, orally and in writing. Considerable knowledge of departmental functions, school administration, organization, and policies. Ability to occasionally perform complex mathematical and statistical calculations. Ability to maintain complex clerical records and prepare reports from records. Comprehensive knowledge of business English and spelling. Ability to establish and maintain effective working relationships with students, parents, staff, government officials, and the general public. Ability to meet parents, community, top-level officials, and others with tact and diplomacy. Ability to maintain financial records and prepare reports and statements. Intermediate to advanced proficiency in office-related and department-specific software. Ability to effectively use office equipment, including computer, copier, postage meter, Fax, printer, multiple-line phone, paper folder, laminator, projector, and scanner.

Education and Experience

Education or experience equivalent to graduation from high school with postsecondary coursework or training and at least one year experience supporting a networked database application and at least four years extensive, increasingly responsible experience in clerical work. Documented and certified post high school classes or training providing technical knowledge may be considered as additional experience.

Physical Conditions and Nature of Work Contacts

Work is typically performed in an office setting primarily sitting at office equipment, with occasional walking throughout the school building. Lifting and carrying of objects weighing up to 30 pounds is required. Frequent operation of microcomputers, printers and a variety of office machines is required. Regular, daily contact is made with school administrators, counselor, teachers, students, parents, and the general public.

Evaluation

Performance will be evaluated on the ability and effectiveness in carrying out the above responsibilities.
