Job description

Overview

The Security Office Coordinator performs clerical and secretarial duties for the Safety & Security department. Responsible for processing and maintaining systems for Carle identification badges, access control, and filing of safety, security, parking, transportation, and guest services documentation.

Responsibilities

  1. Coordinates the daily operations of the Security Department Access Control System (SiPass) and related software to ensure proper functioning. Troubleshoots issues as they arise.
  2. Answers phones, takes and delivers messages according to department standards.
  3. Performs clerical duties supporting file maintenance, compilation, auditing, and processing.
  4. Handles general office tasks such as filing, ordering supplies, inventory management, and mail distribution.
  5. Completes departmental reports and assists in report preparation.
  6. Supports Security and patient units with the Infant Security System (HUGS) and software, troubleshooting as needed.
  7. Coordinates administrative and staffing activities within the department.
  8. Manages the rental parking space program, administering access tags and maintaining records.
  9. Handles incoming and outgoing mail distribution.
  10. Provides administrative and clerical support for the department.
  11. Tracks and reports safety & security hazards to the Director of Safety & Security.
