Job summary

Danovo Energy Solutions is seeking an Office Coordinator to support daily operations at our Raleigh, NC headquarters. You will be the primary contact for facilities, vendors, and administrative activities, ensuring a welcoming and efficient office for employees and visitors.

Reporting to the VP of HR, you will handle facilities tickets, vendor invoices, onboarding logistics, seating charts, and cross-functional projects with HR, IT, and building management. This role is on-site and full-time.

Qualifications

  • High school diploma or GED required.
  • 3+ years of experience in office management or facilities coordination.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Strong organizational and multi-tasking abilities.
  • Professional, welcoming demeanor with strong communication skills.
  • Ability to work independently with moderate supervision.

Responsibilities

  • Manage daily office facilities operations and conference room readiness.
  • Coordinate with building management on facility needs and access.
  • Maintain seating charts, layout maps, and visitor information.
  • Stock snack/beverage stations and order supplies weekly.
  • Coordinate vendor relationships and process invoices on schedule.
  • Manage building access badges and parking passes with IT/building mgmt.
  • Greet visitors and support onboarding logistics for new hires.
  • Prepare and receive packages via FedEx or other carriers.
  • Plan company events, lunches, and all-office meetings.
  • Partner with HR on cross-functional initiatives and communications.
  • Identify opportunities to improve efficiency and vendor performance.

POSITION OVERVIEW

Danovo Energy Solutions is seeking an Office Coordinator to support the day-to-day operations of our Raleigh, NC headquarters. This role is a key point of contact for facilities, vendor coordination, and administrative support, helping ensure a well-run, welcoming, and efficient office environment for employees, guests, and visitors.

Reporting to the Vice President of HR, the Office Coordinator independently manages defined areas of office operations, including facilities coordination, vendor relationships, and employee support activities, while partnering closely with HR, IT, and building management on cross-functional initiatives and company-wide events.

PRIMARY RESPONSIBILITIES
  • Manage day-to-day office facilities operations, including maintenance tickets, conference room readiness, and common area upkeep
  • Coordinate with building management on facility needs, after-hours access, and parking distribution for employees and guests
  • Maintain office documentation, including seating charts, office layout maps, and visitor information resources
  • Stock and replenish snack and beverage stations, and order weekly food, drinks, and supplies for the office
  • Coordinate vendor relationships (e.g., coffee service, first aid, shredding), including processing invoices accurately and on schedule
  • Coordinate building access badges and parking pass distribution in partnership with IT and building management
  • Greet and welcome visitors, and support onboarding logistics for new hires, including workspace setup, badge and parking pass assignment, and welcome activities
  • Prepare packages to be shipped by Fedex or other vendor as needed, and receive packages and distribute to recipient
  • Plan and execute company social events, lunch-and-learns, company-wide meetings, and other office engagement activities
  • Partner with HR and other functional teams on cross-functional initiatives and internal office communications
  • Identify and recommend opportunities to improve operational efficiency, vendor performance, and employee experience
REQUIRED QUALIFICATIONS
  • High school diploma or GED required
  • Three or more years of relevant professional experience in office management, facilities coordination, or a related administrative role
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines
  • Professional, welcoming demeanor with strong written and verbal communication skills
  • Ability to work independently with moderate supervision and exercise sound judgment within defined scope
PREFERRED QUALIFICATIONS
  • Associate’s or Bachelor’s degree in Business Administration, Hospitality Management, Communications, or a related discipline
  • Certified Notary preferred
  • Prior experience supporting a corporate headquarters or multi-function professional services environment
  • Experience coordinating vendor relationships and processing invoices
  • Experience with expense reporting and budget coordinationWorking knowledge of workplace safety standards and OSHA requirements

LOCATION

This position is based on-site at Danovo Energy Solutions’ headquarters in Raleigh, NC. This is a full-time, on-site role during core business hours, Monday through Friday, 8:00 AM – 5:00 PM.
