Job summary

All Saints Catholic School in Omaha, Nebraska is seeking an administrative/office professional to support the Building Principal. Reports to: Building Principal

Principal Duties and Responsibilities

Maintains confidentiality of information learned regarding students, their families, staff and situations that develop.
Follows oral and written directions accurately.
Greet visitors, students, and/or employees and respond to inquiries, requests for information and assistance in a positive and courteous manner.
Answer telephone calls, regulate building admittance and sign-in and monitor intercom needs in a timely, positive and responsive way. Check the answering machine daily.
Knowledgeable of building security systems as needed.
Communicate to convey or exchange general work-related information, requests, or services to families and staff.
Manages and organizes office area and reception area, and has the ability to devise or adopt office procedures to changing organizational needs.
Familiar with Sycamore and its functions to fulfill needed responsibilities. This may include family and student registration, student records, tuition statements and collection, cafeteria charges, student/family directory, progress reports and report cards.
Prepare timely deposits of any checks and cash received.
Assists with ordering instructional materials and supplies for the entire school staff.
Maintain accurate inventories of instructional materials and supplies used from year to year.
Administers prescribed medications, medical protocols, as needed to students. Account for student medications brought into the building and maintain an accurate log of distribution of medications.
Provide first aid or other appropriate emergency care for illness or injury to students and staff in accordance with policy and procedures, and as directed by the RN.
Provide monitoring of students as needed.

Knowledge, Skills, and Abilities

Creates documents that require use of computer word processing, spreadsheets, letters, rosters, etc.
Knowledge of business English with the ability to write in complete sentences using appropriate words, correct grammar, punctuation and spelling. Detail-oriented with skills in proofreading materials and data entry to ensure accuracy.
Works with staff to distribute student, parent/guardian, and staff communications through phone, email, US mail, intercom, Sycamore, or other messenger system.
Assists as needed with student drop-off and pick-up. Assist with attendance and lunch count.
Assists Building Administration with reports and data collection as requested/required by the Archdiocese and/or state of Nebraska.
Processes free and reduced lunch applications.
Assists with the distribution and collection of forms for the Children’s Scholarship Fund and other scholarships, and other forms that the school generates.
Performs basic computer skills, word processing, filing, copying, scanning, etc.
Create, maintain, and share a Google calendar for school-wide activities.
Prepares daily announcements as directed.
Assists with special projects as required/requested with community partners and organizations.
Knowledge of school policies, procedures, and practices with the ability to answer work-related questions; and/or interpret and apply these guidelines correctly in various situations.
Ability and patience to work with students and parents/guardians.
Demonstrate proficiency in the ability to take initiative and work independently.
Excellent organizational skills.
Displays a significant degree of professionalism and confidentiality.
Limited travel may be required.

Education and Experience

A High School Diploma or GED equivalent is required.
Previous experience working in an office setting is preferred.
Proficient computer knowledge is required.
Demonstrate proficiency of the English language to read and communicate with others.
Demonstrate proficiency of the Spanish language to read and communicate with others is preferred.

Completion of the Archdiocese of Omaha Safe Environment training.
Verification of U.S. citizenship or legal authorization to work in the United States.
Maintain appropriate certifications and training hours as required.
