American Indian Community Development Corporation is seeking an organized and dependable Office Coordinator to support the day-to-day administration. This position helps ensure the corporate office runs smoothly while providing front desk coverage and creating a welcoming environment for employees, visitors, and community members. The Office Coordinator performs a variety of administrative duties in support of the corporate office and provides information about programs and services to individuals seeking assistance or information as able.

Responsibilities
  • Serve as a first point of contact for employees, visitors, community members, and partners.
  • Perform reception duties, including answering, screening and directing calls, greeting and assisting visitors, and responding to general inquiries.
  • Provide general administrative support for corporate office operations.
  • Maintain professional and timely communication via phone, email, in person, and mail.
  • Monitor and request inventory orders for office and break room supplies.
  • Maintain accurate contact lists, databases, and organizational records.
  • Support intern coordination, special events, fundraising activities, and community programs as needed.
  • Managing incoming and outgoing correspondence, including emails, faxes, mail and packages daily
  • Filing and organizing records, invoices and other important documentation
  • Assists with proposal development as required or requested, monitors reporting requirements and deadlines
  • Identify opportunities to improve office systems, organization, and administrative processes.
  • Perform other administrative duties as assigned in support of the organization’s mission.
  • Manage and monitor employee Microsoft Outlook access
  • Assist with setting up email access for employee status changes
  • Maintain confidentiality of employee, organizational, and community information.
Required Qualifications
  • High school diploma, GED or equivalent required.
  • Excellent organizational and time management skills.
  • Great customer service and interpersonal skills.
  • Ability to build strong relationships with diverse staff and community.
  • Ability to manage multiple priorities, meet deadlines, and maintain attention to detail.
Physical Requirements
  • Ability to remain in a stationary position for extended periods while performing computer and administrative work.
  • Ability to frequently operate a computer, telephone, and other standard office equipment.
  • Ability to occasionally bend, reach, stoop, or crouch when accessing office materials and supplies.
  • Ability to occasionally lift, carry, push, or move office supplies, packages, and materials weighing up to 25 pounds.
  • Ability to occasionally assist with the setup and breakdown of meetings, events, or organizational activities.
