Job summary

Propelis is seeking an Office Coordinator to oversee our office's day-to-day administrative operations and support senior management. The role requires excellent communication, a proactive approach to problem-solving, and the ability to multitask in a fast-paced environment.

Location is on-site in Atlanta (Marietta). Responsibilities include scheduling, purchasing, invoice processing, vendor relations, policy development, and maintaining confidential information with discretion.

Qualifications

  • Proven experience as an Office Coordinator/Manager or Administrative Assistant.
  • Proficiency with P2P systems (Coupa, Medius, BuySmart).
  • Proficiency in MS Office and familiarity with office management tools (e.g., ERP/SAP, CRM systems).
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • Excellent verbal and written communication skills.
  • High school diploma or equivalent; additional qualifications in office administration or related field preferred.
  • Bachelor’s degree is a plus.

Responsibilities

  • Manage daily office operations and procedures, including scheduling, purchasing of direct and indirect supplies, invoice processing, cycle counting, filing systems, and supply inventory.
  • Act as the point of contact between executives, employees, clients, and external partners.
  • Ensure compliance with company policies, health and safety regulations, and local laws.
  • Manage relationships with vendors, service providers, and landlord.
  • Develop and implement office policies by setting up procedures and standards to guide the operation of the office.
  • Handle sensitive information with confidentiality.
  • Other duties as required by Manager

The U.S. pay range for this position is $40,000 USD - $47,380 USD annually.
