Job summary

Associated Milk Producers Inc. (AMPI) is seeking an Administrative Support professional to manage payroll processing, HRIS updates, and benefits coordination. This role supports timely payroll, accurate timekeeping, and compliant adherence to wage and hour laws and the CBA.

The position requires strong attention to detail, proficiency with UKG/UltiPro, and experience with MS Word/Excel/Outlook. Collaboration with HR and operations is essential for accurate records and efficient processes.

Qualifications

  • High School Diploma or GED required.
  • Associate's degree in HR, Accounting, Business Administration or related field preferred or equivalent experience.
  • 2-4 years of relevant work experience preferred/required.
  • Knowledge of UltiPro/UKG HRIS preferred.
  • Experience with Microsoft Word, Excel and Outlook preferred.

Responsibilities

  • Process employee biweekly payroll and ensure compliance with wage/hour laws and the CBA.
  • Review timecards and adjust employee schedules/timecards as needed.
  • Coordinate PTO requests from request to approval and handle PTO cash outs when applicable.
  • Track and report absenteeism.
  • Enter new employee transactions and status changes.
  • Assist with benefits enrollment processing and HRIS documentation.
  • Support disability, FMLA, and workers' compensation leaves/claims; coordinate return-to-work.
  • Assist with audits and resolve discrepancies.
  • Troubleshoot time clock issues.
  • Prepare payroll information and reports.
  • Communicate professionally with internal/external employees and customers.
  • Serve as UKG resource for payroll questions; resolve payroll discrepancies.
  • Apply CBA pay practices for compensation and leave.
  • Code invoices with correct G/L numbers for payment.

DETAILED DESCRIPTION

AMPI owns six Midwest-based manufacturing plants where 10 percent of the nation’s American-type cheese and processed cheese is produced. The cooperative’s award-winning cheese and powdered dairy products are marketed to foodservice, retail and food ingredient customers. In 2019, the co-op launched its Dinner Bell Creamery brand and accompanying Co-op Crafted promise, highlighting more than 50 years of dairy farm families partnering with skilled cheesemakers.

ESSENTIAL RESPONSIBILITIES

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time:

  • All AMPI employees have an obligation to report employee safety, food safety and food quality issues to the personnel of authority.
  • Responsible for preparing and processing the employee biweekly payroll. Ensure compliance with all applicable state and federal wage and hour laws and the collective bargaining agreement (CBA).
  • Review employee timecards for completeness and accuracy. Enter and adjust employee schedules and employee timecards as necessary.
  • Coordinate paid time off (PTO) requests from request to approval for timely processing. Process cash outs of PTO in lieu of taking PTO when applicable.
  • Track and report absenteeism.
  • Enter new employee transactions, changes in personnel status, and terminated employee transactions.
  • Provide administrative support for benefits by assisting with the efficient processing and tracking of benefits enrollment, changes, and terminations. Prepares benefit documentation for new hires, enters benefits related information in HRIS system and ensures the integrity of all submitted documents through verification and investigation.
  • Assist human resources with employee disability, FMLA, and workers' compensation leaves/claims. Coordinates return-to-work and light duty efforts.
  • Assist with audits and resolve discrepancies.
  • Responsible for troubleshooting and handling time clock issues.
  • Prepare and analyze payroll information and reports.
  • Communicate and interact positively, effectively and respectfully with internal and external employees and customers.
  • Acts as a UKG resource for employees and responds to employee/supervisor questions regarding payroll issues. Answers questions and facilitates resolution to payroll discrepancies.
  • Understand the collective bargaining agreement (CBA) and apply the pay practices, benefits, leave, and discharge language according to the CBA.
  • Assign and match purchase orders with receiving documents and invoices.
  • Code invoices with correct G/L number for payment.
  • Obtain necessary signatures, make copies, and prepare the upload spreadsheet for payment.
  • File copies of all A/P documentation.
  • Responsible for putting together capital appropriation approvals for payment to vendors.
  • Accurately enter data into the JDE computer system.
  • Establish and maintain computerized records system for departmental records, files, and reports, along with ensuring accuracy and timeliness.
  • Perform back-up office responsibilities.
  • Build and maintain strong working relationships with brand owner leadership teams to drive accountability and continuous improvement.
  • Build a partnership with brand owner leadership teams, ensuring best-in-class safety, quality, service, and cost performance.
  • Other duties as assigned.

EDUCATION/EXPERIENCE

  • High School Diploma or General Education Degree (GED) required.
  • Associate's degree in human resources, Accounting, Business Administration or related field preferred or a combination of education and relevant work experience.

  • Knowledge of UltiPro/UKG human resource information system (HRIS) preferred.
