In this high-touch role you will blend luxury hospitality instincts with strong emotional intelligence, organization, and judgment to anticipate needs, manage spaces and events, and ensure a polished, seamless experience for clients, partners, vendors, and staff.

Responsibilities

  • Serve as the first point of contact for guests, clients, partners, vendors, and staff with a warm and professional welcome.

  • Maintain conference room calendars and ensure reception and common areas are prepared.
  • Provide light administrative support to senior executives and assist with events and board logistics.
  • Work with IT to maintain connectivity and equipment for meeting spaces.

About the Role:

We are seeking an exceptional Office Concierge to serve as the welcoming face and service ambassador of our New York City office. This is a highly visible, high-touch role responsible for creating a warm, polished, and seamless experience for external guests, clients, partners, vendors, and staff.

The ideal candidate combines the instincts of luxury hospitality with exceptional emotional intelligence, organization, and judgment. They anticipate needs before they are expressed, take genuine pride in caring for others, and understand that the smallest details can shape someone’s experience.

This individual will serve as a central point of contact for the office and will maintain trusted relationships across the organization, with building management, and with external vendors and service partners.

Job Responsibilities:
Guest & Client Experience
  • Serve as the first point of contact for guests, clients, partners, vendors, and staff, providing a consistently warm, polished, and professional welcome. Deliver thoughtful, personalized, high-touch service from arrival through departure.
  • Anticipate guest and staff needs; proactively identify opportunities to make their experience more seamless, comfortable, and memorable.
  • Coordinate guest arrivals and notifications, meeting spaces, refreshments, and other hospitality needs with discretion and attention to detail.
  • Maintain awareness of daily office activity, expected visitors, important meetings, and special circumstances to ensure the office is prepared in advance.
  • Approach requests with a creative, resourceful, “how can I help?” mindset, taking ownership through resolution.
Office Hospitality & Staff Support
  • Help foster an office environment that feels welcoming, cared for, organized, and exceptionally well run.
  • Provide the same level of thoughtful service internally as externally, recognizing opportunities to proactively support colleagues and improve their day-to-day office experience.
  • Manage and maintain conference room calendars, presentation and readiness of reception, meeting rooms, kitchen, and common spaces, along with guest-facing areas.
  • Manage kitchen and office supplies inventory – track stock levels, anticipate needs, place and receive orders, in line with budgets.
  • Prepare refreshments and place catering orders for meetings as needed.
  • Sort and distribute mail to team members.
  • Provide light administrative support to senior executives, typically related to scheduling, limited travel arrangements, and expense reimbursements.
  • Ad hoc support of Communications function, specifically invoice processing and administrative support of company newsletter.
  • Work closely with Operations Manager on planning and executing logistics for quarterly board meetings and company events (e.g., annual holiday party and the summer outing). Support special meetings, events, executive visits, and other high-touch office moments as needed.
  • Work with IT to maintain all connectivity and equipment necessary for working efficiently, particularly in conference rooms and collaborative rooms.
  • Identify opportunities to continually elevate hospitality standards and the overall office experience.
Office Operations, Maintenance & Vendor Relationships
  • Serve as a primary contact for day-to-day building matters and vendor coordination, liaison with Operations Manager, as needed
  • Primary point of contact on any maintenance required related to office equipment and overall facilities, including kitchen appliances, HVAC and other equipment, from facilitating service requests through service resolution.
  • Responsible for all Operations invoice processing, adhering to the budget; work collaboratively with the finance department and outside vendors to ensure invoices are properly allocated and paid.
  • Maintain and continue to help develop strong, collaborative relationships with building management, security personnel, maintenance teams, and external vendors.
  • Help to cultivate and maintain a trusted network of high-quality external service providers, ensuring vendors consistently meet the organization’s standards for service, responsiveness, professionalism, and discretion.
Security & Office Protocols
  • Understand, adhere to, and actively promote all internal and building security protocols, including visitor access and vendor procedures.
  • Balance exceptional hospitality with sound judgment, discretion, confidentiality, and security awareness.
  • Help ensure established office processes and protocols are followed consistently while maintaining a gracious and service-oriented experience.
Communication & Administration
  • Communicate clearly, professionally, and warmly in person, by phone, and in writing, responding promptly to requests and following through reliably, keeping relevant parties informed.
  • Maintain organized processes, records, schedules, contact information, and vendor details as appropriate.
  • Create and improve procedures that enable consistent, efficient, and exceptional service.
  • Exercise excellent judgment when determining priorities and escalating issues.
Required Skills and Expertise:
  • Proven experience in a luxury hospitality, high-end customer service, private membership, luxury retail, executive office, or similarly high-touch environment.
  • Naturally warm, gracious, polished, and highly personable.
  • Exceptional emotional intelligence and interpersonal skills, with the ability to read a room and adapt communication and service style appropriately.
  • Genuine service orientation and enjoyment of caring for others.
  • Highly proactive, with a demonstrated ability to anticipate needs rather than simply respond to requests.
  • Thoughtful, creative, resourceful, and solutions oriented.
  • Exceptionally organized and process-oriented, with strong attention to detail.
  • Prompt and responsive with excellent follow-through.
  • Strong written and verbal communication skills.

  • Takes ownership and pride in both the visible and behind-the-scenes details that contribute to an exceptional office experience.
  • Strong technical proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • High school diploma or GED required.
Compensation:

The expected salary range for this position is $75,000 - $85,000 annually. The actual salary offer will be determined on factors including the qualifications, experience, skills, and abilities of the applicant. This role is also eligible for an incentive bonus.
