Job summary

Clayton is seeking an Office/Clerical professional to provide a world-class first impression at the facility and support daily office operations including basic accounts payable tasks.

Responsibilities include matching invoices to packing slips, entering data for AP batches, managing AP communications, coordinating deliveries, and assisting potential candidates with online applications, with opportunities for growth and benefits.

Qualifications

  • High school diploma or equivalent preferred.
  • Proficient in Excel and Word.
  • Minimum of two years’ relevant experience.
  • Knowledge of accounts payable accounting techniques and methods.
  • Familiarity with reconciliation techniques, filing procedure, and file maintenance.

Responsibilities

  • Match packing slips (POs) to invoices for accounts payable.
  • Key into GL accounts payable batches and scan (manual code).
  • AP Mailbox distribution for 913 and 904.
  • Expense Tracking for team spending.
  • Point of contact for accounts payable team.
  • Coordinate guests and scheduled delivery appointments.
  • Answer the main phone line – route calls, take messages, and manage communications.
  • Order supplies in Oracle.
  • Store office supplies when delivered.
  • General filing, copying, printing, and administrative tasks.

Office/Clerical Job Profile: JP00299 Position Summary

The Office/Clerical role is responsible for providing guests with a “world-class” first impression of the facility. This position manages and coordinates visitor interactions to ensure their needs are met in a professional and welcoming manner. Additionally, the role includes performing daily office operations and supporting basic accounts payable tasks.

Duties/Responsibilities
  • Match packing slips (PO’s) to invoices for accounts payable
  • Key into GL accounts payable batches and scan (manual code)
  • AP Mailbox distribution for 913 and 904
  • Expense Tracking for team spending
  • Point of contact for accounts payable team
  • Coordinate guests and scheduled delivery appointments.
  • Answer the main phone line – route calls, take messages, and manage the initial communications.
  • Point of contact for ordering supplies in Oracle
  • Store office supplies when delivered.
  • Filing, making copies, printing, and any other pertinent administrative responsibilities as assigned.
  • Assist potential candidates with an online application process.
  • Any additional duties or special projects as requested by the Materials Manager.
  • Sign for UPS & FEDEX deliveries.
  • Cycle Counts
  • Other duties as assigned.
