POSITION: Office Assistant II – Center BasedCLASSIFICATION: Full-Year, Hourly, Administrative Support, Grade IV-A, Full-time, Non-ExemptBASIC FUNCTION:Provides administrative, clerical, and customer service support to the assigned center. Serves as the primary receptionist for the building while assisting with daily office operations, supporting classroom staff, and helping ensure efficient communication and organization throughout the centerSUPERVISOR: Early Childhood Services Coordinator (ECSC)DUTIES AND RESPONSIBILITIES:1. Support the agency's Vision, Mission, Core Values, and commitment to providing high-quality services to children and families.2. Serve as the first point of contact by greeting visitors, answering and directing telephone calls, responding to inquiries, and providing exceptional customer service.3. Communicate information accurately and professionally to families, staff, and community partners.4. Receive, sort, distribute, and prepare incoming and outgoing mail, deliveries, and packages.5. Assist with family recruitment activities, application appointments, follow-up communication, and collection of enrollment documentation.6. Prepare, organize, and maintain files, records, forms, reports, and other documentation in accordance with agency requirements.7. Perform a variety of clerical duties including data entry, typing, filing, copying, scanning, laminating, collating, and preparing materials for classrooms and agency activities.8. Maintain building calendars, conference room schedules, and assist with meeting coordination.9. Monitor and maintain office supply inventories and prepare purchase requests as directed.10. Assist classrooms by providing materials, supplies, or temporary coverage as directed and in accordance with licensing and program requirements.11. Support classroom staff by preparing instructional materials, organizing resources, and assisting with center projects and special events.12. Maintain confidentiality of all children, family, employee, and agency information in accordance with agency policy and applicable laws.13. Participate in required agency meetings, trainings, and professional development activities.14. Follow all agency policies, Head Start Performance Standards, DCY regulations, licensing regulations, Standards of Conduct and safety procedures.15. Demonstrate flexibility by assisting with other administrative and operational duties as assigned to support the overall success of the center.16. Assist classroom staff with behavior support strategies and transitions as directed by teaching staff and supervisors. This position does not independently implement behavior intervention plans or provide primary behavior management.17. Assist with kitchen support as needed during staffing shortages or other operational needs under the direction of the ECSC.18. Perform other duties as assigned.QUALIFICATIONS:Education and Training: Associate degree in business, office administration, or a related field preferred. High school diploma or equivalent required. Proficiency in Microsoft Office (Word, Excel, Outlook) and general office technology. Ability to learn agency software and data systems.Work Experience Required: Minimum of two years of experience in an office, administrative support, customer service, or related position. Experience working in an early childhood, educational, or nonprofit environment is preferred. Strong organizational skills with the ability to prioritize multiple responsibilities while maintaining accuracy.Special Conditions: Ability to perform the essential physical and mental functions of the position. Demonstrates professionalism, confidentiality, sound judgment, and the ability to interact positively with children, families, staff, and community members. Successfully completes all required background checks and training.
