Job description

Under the direction of Administrative Services Manager, the Office Assistant performs a variety of general clerical duties related to customer service, filing, reception, form processing, record maintenance, mail, typing, and data entry; The position may require flexible work hours.

ESSENTIAL FUNCTIONS STATEMENT:
  • Greet patrons and provide excellent customer service to members of the public.
  • Process program registration, pool passes, and facility use requests.
  • Handle financial transactions, reconcile daily receipts, and prepare deposits.
  • Supply the public with general information regarding parks, facilities, and recreation programs.
  • Answer the telephone, and route calls as needed.
  • Maintain and organize records, computer files, and documents.
  • Maintain calendar reflecting District facilities use and events.
  • Protect confidential information by preventing unauthorized release, both verbal and/or in writing.
  • Perform other duties as assigned.
QUALIFICATIONS:
Knowledge of:
  • How to provide excellent customer service.
  • Use of office equipment, including computers and registration software.
  • Principles of cash handling.
Ability to:
  • Communicate clearly, concisely, and effectively, both orally and in writing.
  • Work independently and make routine decisions in the absence of supervision.
  • Type and write accurately and at a speed necessary for successful job performance.
  • Work harmoniously and cooperatively with fellow employees and the public.
  • Analyze problems, evaluate alternatives and make creative recommendations.
  • Prioritize projects, multi-task and complete work in a timely manner.
EDUCATION AND EXPERIENCE:
Required:
  • Must have completed the twelfth grade and possess a High School diploma or equivalent.
  • Proficiency in standard computer use is necessary.
Desirable:
  • Previous experience working as a customer service representative and/or with recreation programs.
SPECIAL REQUIREMENTS:
  • Be able to qualify with the Department of Justice as a Course Records Manager, through the DOJ’s assessment of criminal history.
  • Proof of a negative Tuberculosis screening within the last two years is a pre-requisite for employment.
PHYSICAL REQUIREMENTS:
  • Essential functions may require maintaining physical condition necessary for moderate lifting (up to 25 lbs.), bending, stooping, reaching, and sitting for long periods of time at a workstation.
  • Many essential duties require the ability to talk, hear, see distance and up close and use fingers and hands in dexterous capacity.
  • Occasional duties of this job are performed in an outdoor environment with exposure to varying climate and temperature conditions including exposure to sunlight, standing and walking on uneven surfaces, continuous contact with patrons, and exposure to loud noises.
