Job summary

The Manhattan Educational Opportunity Center (Manhattan EOC) College Connections Project seeks an Administrative Assistant/Data Entry Specialist to process participant applications, manage data, and assist with procurement and event coordination. This is an in-person role, tied to federally funded TRIO EOC programs, at 163 West 125th Street, NYC.

Qualifications

  • Associate degree required or currently pursuing
  • Minimum two years’ experience in an office administrative position
  • Background in post-secondary and/or college access
  • English proficiency required, additional Spanish or French fluency preferred

Responsibilities

  • Process participant applications and documentation; enter participant data with accuracy into data systems; organize and file print documentation and online files
  • Enter streams of post-secondary application completion, financial aid application completion, and postsecondary enrollment information into the data system; run reports to identify gaps in information
  • Work closely with the Project Director in preparing Annual Performance Reports for the funder
  • Complete procurement process steps in an online system (enter requisitions, purchase order requests, payment requests, manage accounts payables), and organize financial records for review by the Project Director
  • Answer phones and engage with prospective participants
  • Participate in event planning and logistics, make rounds of reminder and follow-up phone calls, prepare and organize materials, and provide support during special events
  • Order and maintain supplies and office equipment using the online ordering and procurement system
  • Assist TRIO EOC participants in creating student accounts including FSA IDs, CUNY/SUNY accounts, and others as needed
  • Manage social media pages including, but not limited to Instagram, Facebook, and the CCP website
  • General office administrative duties and other duties as assigned

Bargaining Unit: No The College Connections Project located at the Manhattan Educational Opportunity Center (Manhattan EOC) seeks an Administrative Assistant/Data Entry Specialist. This position is an in-person position located at the Manhattan EOC. This is a federally grant funded TRIO EOC position. Continued employment in this position is contingent upon ongoing funding. The Manhattan EOC is one of 10 EOCs across the state of New York providing free academic and career training to adult learners in New York. College Connections provides comprehensive post-secondary access services to eligible New York City adults. The CCP aims to inspire, motivate, and empower non-traditional adult students to seek post-secondary opportunities. This position reports to the College Connections Project Director. Duties and Responsibilities:

Core Competencies:
  • Attention to detail and the ability to maintain well-organized records
  • Excellent interpersonal skills; customer-service orientated
  • Excellent communication skills (written, telephone, and in-person)
  • Advanced computer and data analysis skills. Strong knowledge of Outlook, Word, and Excel required.
  • Preferred knowledge of Blumen for TRIO programs, and/or Workday procurement platform.
  • Ability to work within a team and adapt to changing situations and priorities
  • Commitment to the educational advancement of low-income adults aspiring to post-secondary or college enrollment, overcoming barriers similar to the targeted population preferred
Preferred Qualifications and Core Competencies:
  • Associate degree required or currently pursuing a college degree
  • Minimum two years’ experience in an office administrative position
  • Background in post-secondary and/or college access
  • English proficiency required, additional Spanish or French fluency preferred

Pay Range: $21.00/hour
